About The Position

The Financial Grant Manager, Office of the VP of Finance at Georgetown University Medical Center, supports faculty in the financial and compliance management of externally funded awards, serving as an active liaison between faculty and other university offices. The role provides financial oversight, forecasting, and post-award support for ARPA-H awards, including contracts executed through Other Transaction Agreements (OTAs). Responsibilities include maintaining auditable records for expenditures, cost transfers, procurements, and approved budget modifications. The ideal candidate is highly organized and detail-oriented, communicates effectively, and independently manages competing priorities and deadlines. Because these programs are milestone-driven and subject to evolving sponsor requirements, the successful candidate must learn new systems and funding mechanisms quickly, work with agility, and adapt as program scope, milestones, and reporting expectations change.

Requirements

  • Bachelor’s degree
  • Five to seven years of progressively responsible experience in a grants management role.
  • Knowledge of a variety of sponsored research funding mechanisms, including federal agencies (NIH, ARPA-H, NSF, DOD, etc.).
  • Expertise with federal funding guidelines (e.g., 2 CFR 200, FAR).
  • Proficiency with financial systems, accounting, and cost accounting standards as they pertain to grants and contracts management.
  • Budgeting experience and a high level of proficiency in Excel.
  • Proficient with software products including Adobe Professional and DocuSign.
  • Excellent verbal and written communication skills, organizational skills, with demonstrated ability to thrive in a fast-paced, rapidly evolving research environment.
  • Demonstrated learning agility: able to master unfamiliar funding mechanisms, sponsor requirements, and financial systems quickly and with minimal supervision.
  • Capacity to establish clear priorities, adapt to changing circumstances, and multi-task quickly and effectively under pressure and against short deadlines
  • Collegial and collaborative working style, with the ability to build and sustain effective working relationships across faculty, internal university offices, internal and external academic/industrial consortium partners, including acting as a close operational partner to Lead Project Managers and PIs in a fast-paced, milestone-driven environment.

Nice To Haves

  • Experience managing complex federal post-award finances, preferably ARPA-H, DARPA, BARDA, or similarly milestone-driven awards.
  • Demonstrated experience with milestone-based payments, multi-year forecasting, consortium or multi-site financial coordination, and sub-performer oversight.
  • Familiarity with Workday.
  • Advanced Excel and financial systems skills, with the ability to build clear budget, burn-rate, variance, and forecast dashboards.
  • Track record of adapting financial processes and reporting tools to accommodate mid-stream changes in program scope, consortium composition, or sponsor reporting requirements.

Responsibilities

  • Prepare monthly financial reports, reconciliations, and early warnings for budget variances, underspend, or cashflow risks.
  • Track commitments, actual expenditures, accruals, forecasts, available balances, and burn rates for sponsored projects.
  • Coordinate financial reporting and invoice reviews across prime, co-lead, sub-performers, and consortium participants.
  • Guide faculty through the financial aspects of sponsor progress reports and determine the need for effort adjustments or prior approval requests.
  • Maintain auditable records supporting cost transfers, procurements, consultant costs, and equipment purchases.
  • Apply formal financial change control and support award modifications with accurate cost impact analyses and budget scenarios.
  • Respond quickly to shifting program priorities, re-scoped milestones, and sponsor-driven redirections, re-forecasting and re-baselining budgets on short turnaround.
