About The Position

The Administrative team at UCI Police Department provides administrative and logistical support to each of the Divisions within the Police Department, including UCI Health and UCI Campus. The team is responsible for the development and management of the Department's budget, asset management, payroll, accounts payable/receivable, records, communications, and front desk. The team provides support internally to the Department and University wide. Working under the general direction of the Director of Administration, the incumbent is responsible for providing financial, purchasing, accounting, billing and administrative services to the Police Department. These duties include, but are not limited to, processing, reconciling, reporting, and analyzing financial information at UC Irvine Police Department. Responsible for functions utilizing the KFS accounting system, UCI Buy+ and other online systems to maintain accurate records. The incumbent also processes the purchase of equipment and materials, and vendor transactions. Purchases in the unit range across a wide variety of law enforcement and office materials, supplies, services, and equipment that is often of a technical and specialized nature. Procurement activities include, but are not limited, to establishing systems and processes, identifying and implementing efficiencies, negotiating pricing, serving as liaison with all levels of Procurement and Risk Services and Accounting and Fiscal Services, and providing guidance to staff to identify potential vendors and obtaining quotations. Responsibilities require extensive knowledge of University policies and procedures as they pertain to procurement, accounting, basic regulations, and business rules. In addition, the incumbent will complete special projects and a wide variety of other duties as assigned by the Director of Administration and will provide back-up coverage to other administrative staff, as needed. Ensures department compliance with UC polices & procedures.

Requirements

  • Working knowledge of finance policies, practices, and systems.
  • Ability to gather reasonably retrievable information to organize, and perform basic financial analysis assignments.
  • Demonstrated ability to effectively present information verbally and in writing clearly and concisely.
  • Demonstrated ability using spreadsheet and database software for moderately complex financial analysis, fiscal management, and financial reports.
  • Demonstrated interpersonal skills at all levels within the unit; excellent service orientation and critical thinking skills; and attention to detail.
  • Demonstrated ability using organizational skills to multi-task in a high volume environment.
  • Ability to adapt to changing priorities.
  • Ability to function as a member of a team.
  • Intermediate knowledge and understanding of internal control practices and their impact on protecting University resources.
  • Must maintain a valid California driver license and will be enrolled into the Department of Motor Vehicles Employer Pull Notice (EPN) Program Notification system.
  • Must complete and successfully pass a law enforcement level background check.
  • Bachelor's degree in related area and / or equivalent experience / training
  • 1-3 years Budgeting, forecasting, accounts payable and general ledger
