About The Position

The File Coordinator at ExamWorks Compliance Solutions is responsible for managing, organizing, and maintaining company files and records. This role ensures that all documents are accurately filed, easily accessible, and securely stored, supporting efficient operations and compliance with company policies and legal requirements. This is a remote full time position with a standard work schedule Monday-Friday, 8am-5pm (must be able to work Eastern time zone). ExamWorks Compliance Solutions (ECS) was formed in 2014 from the acquisition and consolidation of two pillars within the Medicare Secondary Payer (MSP) compliance industry: Gould & Lamb, providers of MSP compliance and reporting services, and MedAllocators/Ability Services Network, a national provider of MSP compliance and case management. Initially launched as Examworks Clinical Solutions, the company offered integrated services aimed at managing high dollar complex Medicare, medical, and pharmaceutical claims. In May 2020, the organization name was changed to ExamWorks Compliance Solutions, reflecting its core offerings. Today, ECS's mission remains focused on providing comprehensive, creative, and customizable compliance and reporting solutions for the marketplace.

Requirements

  • High school diploma or equivalent
  • Minimum of 2 years of experience in document management or a similar administrative role
  • Experience working with file management systems and software
  • Proven track record of maintaining organized and efficient filing systems
  • Strong attention to detail and organizational skills
  • Proficiency in using office software, including Microsoft Office Suite (Word, Excel, Outlook)
  • Excellent communication skills, both written and verbal
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
  • Strong problem-solving skills and the ability to work independently
  • Familiarity with data protection and confidentiality standards
  • Ability to work collaboratively with team members across different departments

Responsibilities

  • Maintain and organize both physical and electronic filing systems to ensure efficient retrieval and storage of documents.
  • Ensure the accuracy and completeness of all filed documents, verifying that they meet company standards and legal requirements.
  • Collaborate with various departments to facilitate the timely and secure exchange of information and documents.
  • Implement and uphold data protection and confidentiality protocols to safeguard sensitive information.
  • Conduct regular audits of filing systems to identify and rectify discrepancies or inefficiencies.
  • Assist in the development and implementation of filing policies and procedures to improve operational efficiency.
  • Provide training and support to staff on document management practices and the use of filing systems.
  • Stay informed about industry best practices and advancements in document management technology to continually enhance filing processes.
