George E. Booth Co. is a family-owned and operated industrial automation sales company looking to hire their next full-time Service Coordinator for the Service Division in Indianapolis, IN. The ideal candidate will be capable of multi-tasking, coordinating and organizing the schedules, customer demands and invoicing for a portion of the Service Division. As a member of the Service Division, a willingness to respond in urgent or emergent repairs after regular business hours can be a necessity. A clean driving record is required.

Requirements

  • Minimum 0-3 years' experience in administrative or scheduling role
  • Ability to operate standard computer workstation, quick ability to learn software platforms, such as ERP systems, Salesforce and Office Suite products.
  • Strong organizational and communication skills necessary.
  • Minimum of High School Diploma/GED required.
  • Occasional travel and have a clean driving record

Responsibilities

  • Be the main point of contact for the Service department
  • Coordinate day-to-day activity and maintain calendar for the Service team.
  • Ability to multi-task and prioritize workload
  • Obtain Purchase orders from customers
  • Daily interaction with customers, internal/external sales personnel and principal partners for producing quotations, obtaining PO’s and scheduling field work.
  • Ability to interpret customer contract parameters (i.e., differing rates per customer and assigned technical roles, per diem allowances, T&C’s etc.)
  • Work with Service team members to coordinate specialized equipment needed to fulfill on-site scope of work
  • Ensure all Service documentation is submitted on time by field personnel.
  • Utilize the ERP systems to coordinate documentation for quoting and invoicing
  • Manage phone calls and emails from customers as schedules change with ability to problem-solve and prioritize workload as efficiently as possible
  • Work well within a team environment and cross departmentally
  • Ability to build and maintain relationships with customers, colleagues and business partners
  • Assist in maintaining documentation for GEB tooling and calibration references
  • Provide customer follow-ups
  • Identify areas within current processes where efficiency gains can be achieved
  • All other duties as assigned by supervision.
