About The Position

JPW Companies located in Syracuse, NY is currently looking to add a Field Operations Administrator to their team. The Field Operations Administrator provides administrative and operational support to Project Managers and field operations. This position serves as an important link between project management, field personnel, accounting, vendors, and equipment rental companies. The ideal candidate will have a construction background, strong organizational skills, and an interest in learning more about construction operations, equipment, and lift planning. This is a 100% office based position and is not intended to be routinely assigned to field jobs.

Requirements

  • Previous experience in construction, heavy equipment, machinery, steel, crane/rigging, or a related industry strongly preferred.
  • General understanding of construction terminology, equipment, and job-site operations.
  • Strong organizational skills with the ability to manage multiple projects and priorities.
  • Comfortable communicating with Project Managers, field employees, vendors, customers and accounting.
  • Ability to obtain and compare pricing and identify cost-effective purchasing and rental options.
  • Strong attention to detail and follow-through.
  • Comfortable working with computers, spreadsheets, email, and electronic job documentation.
  • Willingness and ability to learn lift-planning procedures and other technical aspects of company operations.
  • Professional and confident when making customer collection calls.

Responsibilities

  • Prepare written estimates based on information provided by Project Managers, ensuring estimates are presented in a concise and consistent format.
  • Prepare billing cards and supporting information for Accounting to invoice customers.
  • Learn company lift-planning procedures and coordinate with field personnel to identify when lift plans are required.
  • Assist with organizing, filing, and maintaining project and job documentation.
  • Coordinate rental equipment setup and call-offs.
  • Track rented equipment to help ensure equipment is returned when no longer required and unnecessary rental charges are avoided.
  • Obtain competitive pricing for rental equipment, materials, and services.
  • Assist with purchasing and perform vendor, pricing, and cost/service comparisons.
  • Track department employee attendance and work locations.
  • Maintain documents and records associated with storage and warehousing.
  • Make accounts receivable collection calls regarding past-due customer invoices.
