About The Position

The Field Closeout Coordinator is responsible for managing project closeout procedures, final deliverables, punch list items, field reviews, and final project documentation for Weltmann Lighting projects. This position reports to the Field Operations Manager and works closely with Project Managers, clients, manufacturers, vendors, and field representatives to ensure projects are closed out accurately, professionally, and in a timely manner. The Field Closeout Specialist will visit jobsites as directed, perform walkthroughs, identify open items, assist with punch list resolution, coordinate final documentation, and help bring projects to completion. This role requires strong communication, organization, follow-up, and the ability to manage multiple projects at one time while maintaining quality, accuracy, and client service.

Requirements

  • Ability and willingness to travel using a personal vehicle; must have a clean driving record.
  • Strong interpersonal skills, with an emphasis on professionalism, patience, and courtesy.
  • Proficient in both written and verbal communication.
  • Skilled in Microsoft Office applications (Excel, Outlook) and Adobe Acrobat Pro.
  • Outstanding organizational skills and the ability to manage schedules effectively.
  • Candidates must be at least 21 years of age.
  • Must successfully pass DMV and criminal background checks.
  • Required to pass Federal OSHA Drug and Alcohol tests for SWAC Certification.
  • Obtain OSHA SST certification within the first three months of employment (company reimbursed).

  • Previous experience in construction and administrative roles is preferred.

Responsibilities

  • Manage project closeout procedures and final closeout requirements for assigned projects.
  • Work with Project Managers, clients, manufacturers, vendors, and field teams to obtain final project deliverables.
  • Perform jobsite walkthroughs to review completed work, identify open items, and document punch list issues.
  • Create, update, and distribute punch list reports, field reports, closeout logs, and final project status reports.
  • Track open closeout items and follow up with responsible parties until items are completed.
  • Assist with final deliveries, missing material issues, replacement orders, and field coordination items required to close out a project.
  • Create final purchase orders, replacement orders, warranty-related orders, and other project documentation as required.
  • Maintain timely and accurate communication with clients regarding open items, deliverables, punch list status, and closeout progress.
  • Provide regular updates to the Field Operations Manager and Project Managers on assigned projects.
  • Manage multiple projects at one time while maintaining accurate records and timely follow-up.
  • Travel to jobsites, warehouses, client offices, and project meetings as directed by the Field Operations Manager (company reimbursed).
  • Develop and maintain positive working relationships with clients, field representatives, manufacturers, vendors, and installation teams.
  • Support the assembly and organization of project folders both digitally and physically as per company procedures.
  • Perform additional tasks as assigned.
