The Festival Producer (Freelance) is responsible for leading cross-functional teams to plan and execute large-scale, multi-day live events. From development and budgeting to onsite execution and reconciliation, this role oversees every stage of the festival production lifecycle. The ideal candidate is an experienced event producer with a deep understanding of operations, budget management, and team leadership, with a passion for creating unforgettable fan experiences and driving operational excellence across the board.

Requirements

  • 10+ years of proven experience producing large-scale live events or music festivals in a general contractor / project manager capacity
  • 5–7 years of management or supervisory experience leading cross-functional production teams
  • Strong budget management skills — comfortable owning a multi-million dollar operating budget
  • Working knowledge of permitting standards (Special Event, Fire, Health & Safety, Building & Safety, Noise, etc.) and ability to oversee permit procurement timelines
  • Exceptional relationship and communication skills — able to align diverse stakeholders from crew to C-suite, with a service mindset and the ability to offer multiple solutions to complex problems
  • Extraordinary organizational skills, self-motivation, and intuition in a fast-paced, high-stakes environment
  • Proficiency with project management and event production tools (e.g., Lennd, Google Workspace, or similar)
  • Ability to anticipate and mitigate risk proactively, with particular attention to high-risk production areas
  • Availability to commit to a project from planning through post-event settlement

Responsibilities

  • Partner with department heads to develop itemized budgets aligned to stated scope; value-engineer as needed and identify cost savings
  • Approve all purchase/rental requests, card funding requests, and vendor invoices within budget
  • Support marketing timelines, announcements, and key cross-promotional efforts
  • Directly oversee 3rd-party Site and Operations teams
  • Serve as the main point of contact for all project stakeholders — executives, department heads, and external parties
  • Build and manage project schedules; track milestones and keep the project on the critical path
  • Facilitate meeting notes, documentation, knowledge base, and archiving (Google Drive, Lennd, Connecteam)
  • Monitor performance, identify risks, and develop contingency plans — with particular attention to high-risk areas
  • Facilitate conflict resolution and cross-departmental escalation to keep the project moving
  • Evaluate CapEx opportunities using ROI analysis to improve project efficiency
