About The Position

The Department of Pathology is seeking a Fellowship Coordinator who will be responsible for the day-to-day administration of five Fellowship training programs (3 ACGME-accredited, 2 unaccredited). This role will assist the Program Director in ensuring that the training programs are in full compliance with CUGME Office policies and procedures, as well as relevant institutional policies and procedures, ACGME program requirements and regulations, and relevant professional standards and criteria are met. The coordinator will also assist the Program Director in developing and maintaining the educational quality of the training programs.

Requirements

  • Bachelor's degree from an accredited institution.
  • 1 year of professional experience with residency and/or fellowship program coordination (for Intermediate level).
  • Ability to communicate effectively, both in writing and orally.
  • Ability to establish and effective working relationships with employees at all levels throughout the institution.
  • Outstanding customer service skills.
  • Applicants must be legally authorized to work in the United States without requiring sponsorship.

Nice To Haves

  • Previous experience in a graduate medical education environment.
  • Previous experience concurrently coordinating multiple Fellowship training programs.

Responsibilities

  • Administer day-to-day operations for five pathology fellowship programs, ensuring compliance with ACGME, CUGME, and institutional policies.
  • Coordinate onboarding, orientation, scheduling, and exit processes for fellows, residents, medical students, and visiting learners.
  • Maintain program data and documentation, including MedHub records, evaluations, rotation schedules, and accreditation requirements.
  • Support Program Directors in monitoring program quality, preparing accreditation materials, and maintaining continuous compliance.
  • Manage fellowship recruitment cycles, including application review, interview scheduling, virtual interview facilitation, and ranking processes.
  • Track fellowship budgets, process expenses, and coordinate with the Business Manager and Program Directors on funding allocations.
  • Assist with planning and executing fellowship events, including graduation and other program activities throughout the year.
