About The Position

The Family Services Specialist provides essential administrative, operational, and program support to the Family Services Department. Working closely with the Director of Family Services and program staff, this role serves as a central hub for coordination, communication, and day-to-day support while helping advance the mission of CIN by promoting the wellbeing of Catawba Nation citizens. The position supports the CIN mission by promoting the wellbeing of Catawba Nation citizens.

Requirements

  • Minimum two years’ experience in social services, childcare, human services, or related field.
  • High school diploma or GED required.
  • Valid state driver’s license required; must be insurable under the Tribe’s insurance policy.
  • Ability to maintain strict confidentiality and handle sensitive information appropriately.
  • Respect for and experience working with diverse populations; ability to gain trust and demonstrate patience, impartiality, and kindness.
  • Demonstrate empathy and professionalism when assisting clients; help identify solutions to client needs.
  • Working knowledge of relevant laws, rules, policies, and regulations applicable to the role.
  • Effective verbal and written communication skills, including excellent phone etiquette.
  • Strong organization skills and ability to meet deadlines.
  • Professionalism when interacting with employees, clients, and partner organizations.
  • Proficient in Microsoft Office and related business applications.
  • Flexibility to work nights and weekends as needed.

Nice To Haves

  • Previous experience providing administrative support or coordinating office operations.
  • Associate degree in Human Services/Social Services preferred.

Responsibilities

  • Maintain strict confidentiality, including information protected under HIPAA and 42 CFR Part 2.
  • Manage intake processes, coordinate incoming Family Services calls, assess urgency, and route clients to appropriate staff.
  • Provide administrative support, including correspondence, data entry, filing, scanning, mail handling, and record maintenance.
  • Maintain accurate client, program, billing, and departmental records and documentation.
  • Assist with invoices, funding codes, billing support, payments, and Accounts Payable requests.
  • Prepare reports and supporting documentation for grants, compliance, and program tracking.
  • Coordinate schedules, appointments, meetings, travel arrangements, and procurement activities.
  • Manage the Clothing Closet, Food Pantry, and related inventory and supply needs.
  • Provide referrals, resource navigation, and support services to Tribal citizens and families.
  • Assist clients with accessing community resources and benefits, including Medicaid, SNAP, utility assistance, and emergency support services.
  • Support outreach, recruitment, and community engagement activities, including foster/adoptive recruitment efforts.
  • Coordinate and support community events, workshops, and partnership activities, including the Family Services Community Marketplace and Second Harvest.
  • Build and maintain positive relationships with partner agencies, service providers, and community organizations.
  • Support department and community events through planning, coordination, and administrative assistance.
  • Maintain office and program supply inventories and request replenishment as needed.
  • Provide transportation for clients when authorized and necessary.
  • Help ensure timely response and coverage for Family Services-related emergencies and urgent needs.
  • Participate in meetings, conferences, trainings, and required travel to support departmental effectiveness and professional growth.
  • Serve as a dependable communication and coordination hub for the Family Services Department.
  • Perform other related duties as assigned.
