About The Position

The Family Programs and Community Engagement Coordinator oversees the operational needs, volunteer coordination, onsite staff management and partner relations for family programs, camps and community events.

Requirements

Minimum 2 years experience in one or more of the following fields: Community organizing, event management, youth engagement, and/or arts education.
1–2 years of experience leading, supervising, or coordinating staff, volunteers, or event teams.
High school diploma or its equivalent.
Must be at least 18 years old.
Must possess a valid state driver’s license and maintain a clean driving record.
Must be comfortable and willing to drive cargo vans and large box trucks (e.g. U-Haul), to transport equipment and supplies as needed.
Ability to safely lift, load, transport, and unload equipment/supplies up to 50 lbs.
Willingness and flexibility to work evenings and weekends as required for events and programming.
Ability to work in variable outdoor weather conditions during community events and camps.
Must successfully pass all required state and organizational background checks.

Nice To Haves

Proficiency with Google Suite (e.g. Gmail, Docs, Sheets, etc.).
Demonstrated experience in supply inventory management, event load-in/load-out logistics, and vendor coordination.
Experience with database management or CRM tools (specifically Airtable) and survey/demographic reporting systems.
Excellent written, verbal, and interpersonal communication skills.
Strong organizational, multitasking, and project management skills with the ability to balance competing deadlines.
Bilingual fluency in English and Spanish (strongly preferred).

Responsibilities

Oversee volunteer operations for all family programs, camps and community events, including recruitment, coordination, and stewardship.
Plan and host regular volunteer orientations.
Update and implement volunteer procedures, guidelines and expectations.
Coordinate volunteer schedules for camps and events.
Manage volunteers onsite at programs, camps and events.
Oversee maintenance of the Volunteer Airtable.
Maintain regular communication with existing volunteers including but not limited to: the development of a volunteer newsletter sharing best practices and follow-ups.
Strategically increase our volunteer database through existing and new partnerships.
Manage allocation and replenishment of volunteer swag and supplies.
Work in collaboration with the Director of Enrollment & Family Engagement to steward a robust Parent Ambassador volunteer cohort.
Coordinate operational needs for family and intergenerational programming.
Manage onsite program staff to support culture and quality.
Foster existing and potential partner relationships.
Engage with families to infuse joy and offer paths for participation.
Act as onsite Host Facilitator at select programs to directly welcome, deliver and participate in program delivery.
Manage follow-up systems for reporting demographics and documenting program quality.
Coordinate program supply allocation and replenishment as needed.
Engage in strategic planning with Senior Director of Family Programs & Community Engagement to curate future programming.
Coordinate operational needs for school year and summer camp programming.
Manage onsite camp staff to reinforce safety, culture and program expectations.
Foster existing and potential camp partner relationships including camp fun activities, workshops and location stakeholders.
Engage with campers and families to infuse joy and offer paths for participation.
Act as onsite Camp Showcase Host to directly welcome, deliver and participate in program delivery.
Support with implementing camp quality plan including lesson plan submission checks, observations, administering surveys, first day and showcase support.
Manage follow-up systems for submitting photos, program quality and family communications.
Collaborate with the Director of Enrollment & Family Engagement to foster more direct family engagement and program evaluation opportunities.
Manage and coordinate camp supply allocation and replenishment including camp load-in and load-out logistics.
Act as emergency onsite staff member when necessary.
Engage in strategic planning with Senior Director of Family Programs & Community Engagement to curate future camp programming in the new Creative Arts Collaborative.
Manage the operational needs for community events including Long Center Community Day, Blanton All Day, Kids Ball, Oktoberfest, Friend Fest, Community Art Saturday, etc.
Manage onsite event staff to support culture and quality.
Foster existing and potential partner relationships.
Engage with families to infuse joy and offer paths for participation.
Act as onsite Event Host to directly welcome, deliver and participate in program delivery.
Manage follow up systems for reporting demographics and documenting program quality.
Manage and coordinate event supply allocation and replenishment including load-in and load-out logistics.
Engage in strategic planning with Senior Director of Family Programs & Community Engagement to curate future events in the new Creative Arts Collaborative building.
