Since our inception in 1968, we have been one of the largest providers of supports and services to people of all abilities in the community. The Family Engagement and Enrollment Coordinator serves as a member of the Early Childhood Education team and is responsible for fostering positive relationships with families while supporting enrollment, family engagement, and daily program operations. Guided by the Principles of Family Strengthening and Support, the Coordinator engages with parents and guardians in relationships based on equality and respect, recognizing their existing strengths, resilience, and resources. The Coordinator serves as a liaison between families, educators, specialists, and community partners to enhance communication, strengthen family involvement in children's education, and increase participation in center activities. Responsibilities include enrollment management, childcare financial assistance administration, family support and referrals, family communications, and coordination of family engagement activities. The Coordinator also assists with maintaining enrollment levels, supporting program operations, and providing classroom or administrative coverage as needed to ensure the smooth functioning of the center.

Requirements

• Knowledge obtained through attainment of a bachelor's degree or three years� experience working in the human services field
• Knowledge of local community-based resources for children and families
• Skills in oral and written communication
• Ability to understand family support concepts and practices and facilitate parent groups and family activities
• Ability to cooperate and work in a team-building model
• Ability to participate in and undergo extensive orientation, in-service training, and supervisory observation
• Physicals are required upon hire and every two years.
• MMRs are required upon hire.
• All candidates must have a qualifying criminal background check.

Responsibilities

• Serve as the primary point of contact for prospective and enrolled families, providing exceptional customer service and ensuring a welcoming experience for all visitors
• Enroll children in accordance with contracting agencies, including but not limited to EEC, Pace, and CACFP; conduct initial intake and family assessment, including completion of required enrollment registration forms
• Maintain accurate enrollment, attendance, and family records in accordance with Agency, EEC, PACE, CACFP, and other funding source requirements
• Determine eligibility for families to access childcare financial assistance according to EEC guidelines; facilitate placement of children on the EEC statewide financial assistance waitlist as needed; ensure that financial assistance eligibility remains current, completing re-assessment as required using the Child Care Financial Assistance (CCFA) system
• Conduct family needs assessments, making referrals to supportive services and resources as necessary to fulfill needs, including parenting education, basic needs (food, clothing, childcare, employment, transportation, etc.), and health and wellbeing (mental health, substance abuse treatment)
• Provide case management as needed to families receiving comprehensive services through the development of a family support plan; facilitate connection to services as required to meet family support goals; follow up with external case management agencies (DCF, Healthy Families, Early Intervention, etc.) as needed and as permitted by parents/guardians
• Coordinate enrollment tours, orientation meetings, and transition activities for new families entering the program
• Attend local and regional meetings as needed to remain informed about available resources for families
• Report incidents of suspected abuse or neglect to the Department of Children and Families working in collaboration with the Social Worker, Program Director, and the Vice President of Children�s Services
• Manage enrollment waitlists and support recruitment efforts to maintain optimal program enrollment levels
• Collaborate with classroom and administrative staff to ensure timely communication regarding enrollment, schedules, attendance, and family needs
• Assist families with completing required paperwork and obtaining documentation necessary for enrollment, financial assistance, and ongoing eligibility requirements
• Support family communication efforts through newsletters, social media updates, parent notices, and program-wide communications
• Provide classroom and program coverage as needed to ensure safe staffing ratios and continuity of operations
• Provide front desk coverage as needed, including answering and directing telephone calls, greeting families and guests, managing visitor sign-in procedures, and responding to general inquiries
• Perform administrative, clerical, operational, and program support duties as assigned to ensure the effective operation of the center and the delivery of high-quality services to children and families
• Work with the program team to deliver annual family engagement and educational programs
• Participate actively in program training, meetings, supervision, and evaluation as required
• Participate in all staff meetings and required training sessions, including in-service training, as required
• Perform other duties as assigned
• Maintain all program and Agency-required trainings
