About The Position

JLL is seeking a Facilities Manager to be the single point of contact for facilities management at an assigned site(s). This role involves managing others, assisting the Regional Facilities Director and the JLL client account team with the delivery of quality facility management services. The Facilities Manager will coordinate and manage client requirements, vendor relationships and performance, and service delivery to ensure satisfaction. The day-to-day responsibilities include establishing open lines of communication to build trust and provide transparent exchanges of information with the site team, acting as the face of JLL for site leadership. The role ensures overall facility services are provided in accordance with accounts’ standard processes and procedures, including the application of policies and programs, and coordination of information. It also ensures compliance with portfolio-wide initiatives and required local, state, and federal laws and regulations. A key aspect is developing and maintaining positive relationships with the Client POC, stakeholders, and operations teams, acting as the primary on-site interface with client representatives to determine expectations and ensure delivery of committed services and overall satisfaction with JLL performance. Routine building inspections are conducted to guarantee the highest level of quality standards for building services. The Facilities Manager will support the Client in implementing short and long-term projects, developing and managing the site’s capital and expense budgets, and overseeing daily maintenance activities. The role also involves developing and implementing innovative programs, processes, and procedures to reduce operating costs and increase productivity. Vendor management includes assisting vendors with site visits and onboarding, reviewing and analyzing KPIs and SLAs, understanding FM vendor operations, and ensuring proper tools are in place for vendor performance management. This includes monitoring vendor contract terms and conditions, invoice compliance, supervising vendor performance, and resolving escalations. Contributions to vendor performance assessments through scorecards, business intelligence, MBR/QBRs, and performance improvement action plans are expected. The role is responsible for driving site KPIs, financial and other metrics, and reporting. Building collaborative relationships with vendors and the client is crucial. The Facilities Manager will also support Regional and Account leadership with other assigned duties.

Requirements

  • Experience collaborating with multiple functions to achieve results.
  • Strong analytical skills for structured problem solving and root cause analysis.
  • Minimum of 6 years industry experience in either the corporate environment, third party service provider or as a consultant.
  • Strong organizational and management within matrixed organizations; oversight of both technical and administrative staff.
  • Excellent listening, verbal, and written communication skills.
  • Ability to build repeatable processes that surpass customer expectations.
  • Ability to multi-task and work without direct supervision.
  • Ability to plan and manage work under time constraints.
  • Strong presentation skills.
  • Proficient in MS Office and MS Share Point as well as MS Excel with ability to analyze data.
  • Computer proficiency in CMMS/Work Order systems.
  • US citizenship is required for this position due to government contract requirements.

Responsibilities

  • Develop and implement innovative programs, processes, and procedures that reduce short- and long-term operating costs and increase productivity.
  • Assist vendors with site visits, onboarding, and other items as necessary to drive high-level service output.
  • Review and analyze KPIs and SLAs defined in the scope of work (SOW).
  • Understand operations for all FM vendors under management and ensure proper tools are in place to manage vendor performance.
  • Monitor vendor contract terms and conditions as well as invoice compliance.
  • Supervise vendor performance; resolve, track, and document vendor escalations quickly and efficiently.
  • Implement action plans to improve vendor performance, where necessary.
  • Contribute to vendor performance assessments via scorecards, business intelligence, MBR/QBRs, and performance improvement action plans.
  • Drive site KPIs, financial and other metrics plus reporting for monthly, quarterly, annually or as needed.
  • Build collaborative relationships with vendors and client.
  • Support the Regional and Account leadership with other duties as assigned.
  • Supervise vendor performance during normal and off hours including weekends when necessary.
