About The Position

Reporting to the Operations Manager, the Facility Manager is responsible for assisting in ensuring the safety, security, and efficiency of the facility and support staff for the assigned shift/team. This role involves day-to-day supervision of staff and clients, ensuring adherence to treatment components, conducting searches, documenting checks, and assisting with scheduling and investigations. The Facility Manager also plays a key role in scheduling direct care staff, maintaining accurate documentation in various logs and records, and participating in shift changes to ensure smooth transitions and facility security. Additionally, this position involves training staff on treatment methods, facilitating groups, providing on-the-spot support, and maintaining positive relationships with all stakeholders. The role also includes on-call support, ensuring training compliance, overseeing drug testing, and transporting patients as needed, all while upholding the Phoenix House Mission, Vision, and Values.

Requirements

  • High school diploma or its equivalent.
  • Registered as an Alcohol and Drug (AOD) Counselor recognized by The Department of Health Care Services (DHCS), OR Certified as an Alcohol and Drug (AOD) Counselor recognized by The Department of Health Care Services (DHCS).
  • Three (3) years of experience working in a co-occurring residential or outpatient treatment setting.
  • Two (2) years of supervisory experience in a co-occurring residential or outpatient treatment setting.
  • Must maintain a valid California Drivers' License.
  • Must have proof of automobile insurance.
  • Must maintain a safe driving record based on Phoenix House policy.
  • Must maintain a valid credential (if required for your position) during your employment.
  • Must obtain TB test clearance and update on a yearly basis.
  • Proficiency in MS Office systems.
  • Ability to utilize an electronic healthcare record.
  • Ability to work effectively in a fast-paced changing environment.
  • Ability to establish and consistently enforce appropriate boundaries with patients.
  • Ability to model positive behavior and demeanor.
  • Understanding of addiction, co-occurring models, and treatment modalities.
  • Understanding of patient development and family systems.

Responsibilities

  • Interviewing and hiring of Recovery Support Staff.
  • Providing day-to-day supervision of all Recovery Support Staff and clients.
  • Providing spontaneous and unscheduled attendance and review of all treatment components.
  • Assisting the Operations Manager to ensure the safety, security, and efficiency of the facility.
  • Conducting contraband searches in accordance with policy and procedures.
  • Providing client supervision in a safe, therapeutic setting.
  • Documenting room/bed checks and facility checks as required by policies and procedures.
  • Assisting in scheduling fire, earthquake, and all other required drills per facility licensure.
  • Assisting with and conducting investigations of major incidents.
  • Responsible for scheduling to ensure adequate direct care staffing.
  • Maintaining accurate documentation in staff logs, client charts, facility forms, and other reports.
  • Documenting all notes, occurrences, and incidents in the Electronic Health Record by the end of each shift.
  • Attending supervisor, staff, and other meetings.
  • Leading team meetings as needed.
  • Conducting supervision with direct reports regularly and documenting accordingly.
  • Preparing corrective action plans for staff when necessary.
  • Participating and facilitating the occurrence of shift change.
  • Ensuring that all occurrences/incidents are documented appropriately, facility and cabinets are secure, supplies are stocked for the next shift, and that all keys and other property are accounted.
  • Reporting and checking for damages, safety issues, or other program/facility concerns.
  • Promoting, utilizing, and assisting the Operations Manager with training staff on the treatment method for substance abuse treatment.
  • Providing on-the-spot job support and training of staff in the utilized model.
  • Facilitating routine groups and/or individual counseling with patients and maintaining records.
  • Accurately preparing all supervisory reports and documentation in a timely fashion.
  • Prioritizing work requirements and maintaining the quality output of the department.
  • Implementing new programs and procedures in coordination with the management team.
  • Promoting clear, direct, and healthy staff communication patterns.
  • Maintaining a positive relationship with staff, residents, parents, and other agency contacts.
  • Providing on-call support for Recovery Support Staff and covering shifts as needed.
  • Ensuring training compliance for self and all Recovery Support Staff.
  • Conducting and overseeing all facility drug testing in accordance with Phoenix House policy.
  • Ensuring compliance with daily schedule, the fidelity of groups, and documentation thereof.
  • Transporting patients to off-site appointments, outings, and other requested activities or events.
  • Ensuring all travel and transport policies and procedures are adhered to.
  • Adhering to and promoting the Phoenix House Mission, Vision, and Values while acting as a role model.
  • Other duties as assigned.
