About The Position

Associated Students, Inc. (ASI) is a non-profit corporation led by a 14-member board of elected student leaders, established in 1963. ASI is an auxiliary organization authorized by the California State University Board of Trustees to perform Student Life functions for Cal Poly Pomona students. ASI provides opportunities for student engagement, leadership, and employment, along with various Student Life programs and services. The administrative and student support areas of ASI include human resources, financial services, information technology, facilities management, and marketing. ASI employs approximately 500 part-time students and 60 full-time staff members. ASI manages a significant budget and operates over 294,000 square feet of student space. The ASI Facility Operations department is responsible for the maintenance, cleanliness, day-to-day operations, safety, and emergency management of the BRIC (Bronco Recreation and Intramural Complex) and the BSC (Bronco Student Center), aiming to create welcoming facilities and exceptional customer service experiences.

Requirements

  • Bachelor’s degree in facilities management, communications, business/public management/administration, engineering, or related field required
  • Minimum three (3) years progressive management and supervisory experience in facility management, maintenance or operations for recreation or fitness, student union, conference and events, multi-story housing or hotels, and/or university environment
  • Minimum of two (2) years of experience administering and/or managing facility, maintenance, asset management or operational software
  • OSHA-30 General Industry certification within the first 30 days of employment
  • Current American Red Cross CPR/ AED for the Professional Rescuer and Emergency Oxygen certifications within the first 30 days of employment
  • Certified Pool Operator (CPO) certification required within the first 30-daysof employment
  • Knowledge of and skill in budgeting, fiscal management, and staff supervision
  • Knowledge of and commitment to employee development; ability to motivate and work closely with full-time and part-time staff
  • Exceptional interpersonal skills
  • Understand methods/tools equipment for the installation, operation and maintenance of heating, ventilation and air conditioning systems, cooling towers and chiller systems; boiler systems; lighting, plumbing and pneumatic systems and related mechanical and electric equipment.
  • Read, interpret, and work from blueprints, plans, drawings and specifications
  • Achieve assigned objectives, within budget and desired time frame
  • Work with a diverse student population and campus community
  • Analyze and solve problems, draw valid conclusions, and develop alternate recommendations
  • Operate an office workstation, utilizing word processing, spreadsheet, and other computer applications in use
  • Effectively communicate clearly and concisely, both orally and in writing

Responsibilities

  • Recruit, select, train, supervise, coach, evaluate and develop the Maintenance Team.
  • Develop maintenance performance standards for maintenance staff.
  • Ensure all maintenance personnel have updated training, professional licensures, and certificates.
  • Develop, implement, manage, and evaluate maintenance related procedures and guidelines.
  • Ensure mission, goals, objectives, and initiatives are communicated and translated into actionable tasks.
  • Develops, implements, manages, and assesses changes and improvements in work methods.
  • Manages the operation of the computerized maintenance system (FMX).
  • Develop, implement, manage, and evaluate a quality assurance program.
  • Develop, implement, manage, and assess the department customer service protocols and standards.
  • Maintain inventory of essential department documents and resources.
  • Responsible for preventative maintenance data metrics, budget development and ongoing financial planning.
  • Develops & implements organization wide training for effectively utilizing the work order request system (FMX).
  • Serves as liaison with University Facilities Management and operations personnel.
  • Prepares administrative, project, and maintenance related reports.
  • Engages in professional organizations and maintains an understanding of current ideas, research and practices pertaining to facilities management.
  • Oversees the maintenance and repair of all ASI facilities through a documented computerized inspection process, including building system operations, building equipment and mechanical systems, and functional building elements.
  • Leads and manages an effective work order management program via CMMS (FMX).
  • Works with consultant to develop and administer a preventive maintenance program.
  • Works with key stakeholders to assess and recommend ASI physical assets and prioritization of deferred maintenance and capital renewal.
  • Works with key stakeholders to enhance operational sustainability and improve energy conservation.
  • Prepare, present, implement and administer the maintenance budget.
  • Manage external maintenance contractors and vendors.
  • Manage facility utilities, evaluating impact on department budgets and making recommendations.
  • Manage the planning, development, and preparation of quote comparisons and bid specifications for maintenance-related projects.
  • Assists in the development and prioritization for capital renewal, deferred maintenance, and major maintenance multi-year plans.
  • Collaborates with key stakeholders to minimize disruptions during maintenance and repair projects.
  • Review and evaluate student union and recreation facilities maintenance operations to ensure appropriate risk management precautions and procedures are in place.
  • Oversees unit safety to include emergency equipment, supplies and protocols, Safety Data Sheet (SDS) records, and Cal/OSHA and OSHA compliance standards.
  • Develops, implements, manages, and assesses the unit's safety prevention, emergency preparedness and response protocols.
  • Responsible for tracking, assessing, and sharing reports on accident/incident and near miss trends and developing and implementing preventative measures.
  • Engages with local and state inspectors and fire marshal to ensure safety compliance.
  • Foster an organizational culture that supports learning, cooperation, communication, and skill sharing.
  • Engage in campus-wide collaborations, board, and committees.
  • Serve as ambassador for ASI.
  • Perform other related duties to carry out the mission of ASI, as assigned.
