About The Position

This client facing role provides the opportunity to combine your passion for service, brilliant people skills, and enthusiasm for creating a hospitality culture in the workplace. The Facility Coordinator is the centralized resource for coordinating and supporting services impacting the employee and guest experience such as, Meeting services, mailroom, janitorial, landscaping, vendor partnership and other services.

Requirements

  • 5 to 7 years working in a facility coordinator or customer service capacity.
  • Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Must have ability to communicate clearly and respond to questions from groups of managers and clients.
  • Knowledge and experience with best practices in facility management with focus and enthusiasm for delivery exceptional client experiences in the facility.
  • Excellent planning, organizational and data analysis skills.
  • Strong communication skills across multiple layers of business organizations.
  • Able to produce a quality work product in a prompt, safe and efficient manner.
  • Observe and adhere to safety and health rules.
  • Good communication with respect for co-workers, their property, vendors, and tenants
  • Team player, hard worker, good interpersonal skills, ability to communicate well in both oral and written reports.
  • Maintain a good attendance record, including notification in the event of tardiness and absence.

Nice To Haves

  • Professional designations could include: FMA, RPA, CFM, CPE, CPMM or similar relevant trainings or certifications.
  • OSHA 10 HR or 30 HR card highly preferred.

Responsibilities

  • Review of all work scopes with Site Manager to ensure they meet client’s standards
  • Perform regular audits of janitorial, landscaping, mailroom and other contracted work for scope compliance
  • Understand scope detail related to all contracted work (janitorial, landscaping etc.)
  • Building inspections (conference rooms, common areas, bathrooms, etc.) to identify and report items requiring correction using our work order system
  • Act as the client representative to communicate work status, discuss major process changes, discuss upcoming and on-going projects, and evaluate the impact to our Siemens Energy customers
  • Ensure Timely Completion of all work orders
  • Review open WO status report daily
  • Ensure WO are completed per service level agreements (SLA’s), Address late WO
  • Distribution of janitorial and setup requests as required
  • Follow up on all requests to ensure completion and client satisfaction
  • Manage work order creation, completion and issues raised by our client
  • Train vendors/contractors on work order and billing procedures to maintain consistency and efficiency
  • Responsible for scheduling and monitoring tasks and programs related to cleaning, pest control, waste management etc.
  • Work with Site Manager/ FM leadership to create required KPI and reports
  • Ensure all KPI’s are achieved (PM & WO)
  • Other duties as assigned
