About The Position

The New York City Department of Health and Mental Hygiene (DOHMH) is seeking a dynamic Part-Time Clerical Associate III to provide clerical support for its District Health Centers. This is a citywide assignment, and the work location may change based on agency needs. The role involves supporting facility operations, managing reports, liaising with facility managers, and assisting with various administrative tasks to ensure the smooth functioning of the health centers and satisfaction of program staff and patients.

Requirements

  • A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization.
  • One year of satisfactory clerical experience.
  • Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.

Responsibilities

  • Prepares draft daily facility reports for the Facility Manager and ensures corrective actions are taken.
  • Liaises with the Facility Manager and assists in walkthroughs for facility inspections at Morrisania and Tremont District Health Centers.
  • Monitors Voter registration forms and public distribution.
  • Works with the custodial team to ensure equipment is maintained and adequate supplies are on site.
  • Oversees and assists with assigning parking spaces to employees in the Tremont & Morrisania Parking lot.
  • Oversees, follows up on, and submits Facility Service Requests.
  • Responds to complaints on behalf of the Facility Manager to ensure satisfaction of program staff and patients.
  • Assists in Safety & Health training for Custodial Staff.
  • Facilitates complaints received from surrounding communities as they pertain to the district health centers, particularly at the Tremont Health Center, which is designated as a Neighborhood Health Action Center.
  • Coordinates program needs in the Neighborhood Action Centers in Tremont & Morrisania District Health Centers.
  • Provides outreach information to Community Groups and visitors to the building.
  • Assists the Facility Manager with meeting planner schedules for internal and external meetings for Program staff and Community Groups at both Morrisania and Tremont HC.
  • Responds to questions from the community and directs calls to appropriate programs.
  • Assists with the distribution and tracking of voter registration forms at Morrisania & Tremont Action Centers.
  • Represents the Facility Manager at monthly planning meetings with Program staff, ensuring service request and correspondence flow freely between Program staff and Operations staff.
  • Updates all reports monthly and annually, including Standard Operating Procedures, Emergency Evacuation Plans, and Operations Contact Lists for District Health Centers.
  • Works with the Facility Manager regarding renovations and space allotment in the facilities.
