About The Position

Responsible and advanced Facilities Management customer support work in obtaining, maintaining, and providing information regarding a variety of County operations and coordinating, assigning, tracking, and closing out facilities work requests. Provides a professional and courteous response via telephone, in person, in writing and on-line. Duties include lead worker responsibility.

Requirements

  • Knowledge of standard office methods and procedures.
  • Knowledge of County departments, operations and regulations.
  • Ability to maintain records/files, prepare reports and correspondence.
  • Ability to disseminate information to meet and deal with the public effectively and courteously.
  • Ability to establish and maintain effective working relationships with employees and the public.
  • Ability to communicate effectively via telephone, in person, in writing and on-line.
  • Ability to read for comprehension.
  • Ability to use a computer and related software.
  • Ability to maintain Spreadsheets to track, sort, and report on a variety of information.
  • Ability to establish and maintain files accurately and legibly.
  • Ability to maintain complete and accurate accounting and inventory records.
  • Ability to follow complex oral and written instructions.
  • Graduation from high school or possession of an acceptable equivalency diploma.
  • Three (3) years of experience in customer service or service dispatch centers involving frequent customer contact.
  • Three (3) years of experience using a personal computer and related software required.
  • Must possess a valid Florida driver's license.

Responsibilities

  • Functions as a primary point of contact to provide Facilities Management service information and support to County departments, Constitutional Offices and other customer groups.
  • Assigns work requests to Facilities Technicians and service vendors and provides work order quality assurance.
  • Provides specific information about Facilities Management procedures, regulations and services.
  • Receives and coordinates responses to requests for information and services.
  • Resolves more difficult questions referred by team members.
  • Performs clerical duties, processes records, worksheets, logs, and applications for services.
  • Performs data retrieval and entry into a software application.
  • Updates information in the computer.
  • Generates reports from the computer.
  • Assists citizens, customers, and team members with inquiries, complaints, investigations, billing questions, and account information.
  • Upon Emergency Operations Center activation, employee must be prepared to work additional hours and job duties.
  • Performs related work as required.
  • Work as a team with the Maintenance Supervisor to assign work orders to internal and external team members and ensure all work is completed within Service Level Agreements.
