About The Position

The Facilities Supervisor is a hands-on, tactical leader responsible for the day-to-day maintenance, safety, and operation of the organization’s facilities, grounds, and vehicle fleet. Reporting to the Vice President of Operations, this role ensures that all physical assets are well-maintained, compliant, and support high-quality service delivery. This position executes operational priorities on the ground, including preventive maintenance, repairs, inspections, and vendor coordination. The Facilities Supervisor directly supervises facilities staff, manages daily work assignments, and responds to urgent issues to ensure safe, clean, and fully functional environments. Requirements

  • High school diploma or GED required
  • Four years of experience can be a substitute for educational requirements
  • Minimum of 2 years of experience in comparable work with transferable skills
  • Valid driver’s license and acceptable CORI/background check required
  • Strong organizational, problem-solving, and communication skills
  • Ability to manage multiple priorities in a fast-paced, hands-on environment

Responsibilities

  • Perform and oversee routine maintenance and repair of facilities, grounds, and equipment, including plumbing, electrical, light construction, and general upkeep.
  • Conduct preventive maintenance, such as HVAC upkeep and equipment servicing.
  • Perform snow removal and seasonal property maintenance.
  • Maintain facilities in a safe, clean, and hazard-free condition.
  • Oversee the maintenance and readiness of the organization’s vehicle fleet.
  • Conduct and document monthly vehicle inspections.
  • Coordinate repairs and support program staff in arranging vehicle service.
  • Ensure vehicles meet safety and compliance standards.
  • Conduct routine safety walkthroughs and document findings.
  • Complete required inspections and compliance documentation, including quarterly facility inspections and monthly checks of emergency lighting and hot water systems.
  • Schedule and coordinate external inspections (e.g., fire, building, housing, vehicle inspections).
  • Identify and address safety and health concerns promptly.
  • Coordinate and oversee work performed by external contractors.
  • Schedule recurring services (e.g., HVAC, fire alarm, elevator, waste removal, shredding).
  • Obtain quotes and coordinate small-scale projects and repairs.
  • Supervise and schedule facilities staff based on daily and ongoing priorities.
  • Assign and track work orders to ensure timely completion.
  • Communicate effectively with internal teams regarding maintenance needs and project updates.
  • Maintain inventory of tools, equipment, and supplies.
  • Track and document maintenance activities and service records.
  • Support implementation of systems, processes, and operational improvements.
  • Participate in and coordinate 24-hour emergency response coverage as needed.
  • Respond to urgent facility or fleet issues to ensure safety and continuity of operations.
