About The Position

Robert Half, one of FORTUNE’s World’s Most Admired Companies and a Fortune 100 Best Companies to Work For, is hiring for a Facilities Services Coordinator III to join the San Ramon Facilities department. The Facilities Service Coordinators provide mail and building services to corporate service center business units at assigned locations. This includes mail and package pick-up, delivery, and processing, building services such as responding to work-orders or tickets, reconfiguring spaces, managing office assets, and managing a location's access control system and processes. This team facilitates and directly participates in emergency response and first aid activities. This team also works directly with landlord staff to resolve building or grounds-related issues.

Requirements

  • High School, GED, or vocational training required.
  • 5+ years of corporate mail room and/or building services experience required.
  • General maintenance, office machines, and/or furniture systems assembly required.
  • Knowledge of maintenance ticket system required.
  • Knowledge of Microsoft Office or e-mail and word processing software required.
  • Knowledge of building services and/or badging systems required.
  • First Aid, CPR and/or AED certification required within 6 months of start date.
  • Strong customer service and interpersonal skills.
  • Ability to work with diverse customer base.
  • Ability to manage high-volume, detail-oriented tasks with a high degree of accuracy.
  • Strong organizational skills and ability to prioritize across operational and administrative responsibilities.
  • Proactive communication and consistent follow-through with internal teams, employees, and vendors.
  • Comfort working across multiple systems (badging, reservation systems, shipping platforms, ticketing, and financial systems).

Nice To Haves

  • Junior College coursework preferred.
  • Knowledge of package and mail processing procedures preferred.

Responsibilities

  • Follow processes and guidelines for mail collection, sorting and delivery, package receipt and processing, courier services, and/or mail processing.
  • Responsible for processing of FedEx, UPS, or other express mail/package services both incoming and outgoing.
  • Responsible for processing of incoming and outgoing secure storage (Iron Mountain) cartons and boxes.
  • Assist as needed with conference room setup, minor cube reconfigurations, ergonomic evaluations, installation of ergonomic equipment, employee badging, and/or facilities related activities as issued by supervisor and/or assigned by ticket system.
  • Assign facilities tickets to level I and II Coordinators and/or handles more complex facilities tickets and tasks by performing actions as assigned with minimal direction of the supervisor.
  • Assist in facilitation of office equipment management and maintenance by working with office equipment vendors.
  • Order supplies, maintain mail centers, and perform basic housekeeping of facilities areas.
  • Implement visitor and employee badging process by issuing badges, updating security system as needed, and/or reviewing or monitoring results.
  • Provide onsite support for internal meetings and events, including conference room setup and resets.
  • Assist with badge requests, access management, and coordination with the Security team.
  • Workplace reservation system support including assist with administrative updates and system changes and support ongoing system maintenance and user needs.
