FACILITIES RECORDS INTERN

Custom Truck One SourceKansas City, MO
Onsite

About The Position

Custom Truck One Source (CTOS) is seeking a detail-oriented intern to support a long-term initiative to digitize, catalog, and preserve our facilities’ historical drawing archive. This archive spans decades of facility development — including drawings dating to the 1930s — and represents critical institutional knowledge about the construction, layout, and evolution of our manufacturing and operations sites. This is a hands-on role with real impact: the intern will transform a paper-based historical record into a searchable, organized digital asset that will support ongoing capital projects, facility planning, and regulatory compliance for years to come.

Requirements

  • Currently enrolled in or a recent graduate of a program in Architecture, Architectural Technology, Engineering Technology, Construction Management, Geographic Information Systems (GIS), or a related field
  • Proficient in Microsoft Office
  • Strong attention to detail and commitment to consistent naming/filing standards
  • Ability to handle fragile historical documents with care
  • Self-directed with the ability to manage a long-horizon project with minimal daily supervision
  • Comfortable working in an active industrial/manufacturing facility environment

Nice To Haves

  • Familiarity with CAD software (AutoCAD, Revit, or similar) is a plus but not required
  • experience with document management or file management systems is a bonus

Responsibilities

  • Inventory, organize, and condition-assess existing physical drawings (blueprints, schematics, site plans, as-builts)
  • Scan or photograph drawings using department equipment, ensuring consistent image quality and resolution standards
  • Import digitized files into our document management system, applying naming conventions and metadata tagging (date, facility, drawing type, revision, etc.)
  • Cross-reference physical drawings against known project records to identify gaps, duplicates, or unclear provenance
  • Assist with light CAD work or PDF redlining to annotate or update legacy drawings as directed
  • Coordinate with facilities and project management staff to prioritize drawings tied to active capital projects
  • Maintain a running log of completed, in-progress, and pending items
  • Flag drawings requiring special handling due to age, fragility, or unclear legibility
