About The Position

The Facilities Manager ensures the upkeep, security, and operational readiness of our school’s three campus facilities, executing maintenance and facility improvements efficiently to prevent disruption to school activities. Serving as a professional representative of the school, this role works closely with staff to assess campus needs, liaise with contractors, architects, and local officials, and manage vendor quotes and scheduling to secure the best service and value for our community.

Requirements

  • Associate’s Degree in Business, Facilities Management, or equivalent professional experience.
  • Proven experience planning and overseeing multi-step capital projects (e.g., classroom renovations, roofing, landscaping) from vendor bidding to final inspection.
  • Ability to follow established procedures, policies, and work standards while exercising sound judgment in day-to-day activities.
  • Practical, hands-on general maintenance and handyman experience for day-to-day repairs.
  • Strong organizational skills with a meticulous and detail-oriented approach to recordkeeping, invoice tracking, and scheduling.
  • A reliable, collaborative team player with a flexible mindset and the ability to adapt to changing school needs.
  • Proven Customer Service experience, with a professional, responsible, and results-oriented attitude.

Nice To Haves

  • Some flexibility in hours is needed to open the campus on weekends and supervise vendors on-site.
  • Some flexible remote work is available, but must be in-person for appointments, meetings, and to oversee campus projects.
  • The current Facilities Coordinator has created a thorough project management and documentation file, along with processes, to support the new employee in orienting to the position.

Responsibilities

  • Maintain strict confidentiality regarding parent, staff, financial, and operational information.
  • Oversee all facility improvements, security, repairs, and routine maintenance across three campuses (all on the same street) with four buildings.
  • Manage major renovation and capital projects—such as classroom renovations, roof replacements, landscaping, etc. —coordinating with contractors to deliver projects on time and on budget.
  • Respond promptly to internal campus repair requests and perform light handyman duties (e.g., replacing lightbulbs, basic repairs) as needed.
  • Source and manage vendor relationships, attend on-site service appointments, and conduct quality follow-ups.
  • Track vendor work for accuracy and promptly submit all receipts and invoices to the Operations Manager.
  • Ensure campus adherence to state and federal safety regulations and support emergency / disaster management planning.
  • Proficiently use Google Workspace (Gmail, Google Calendar, Google Sheets, etc.) for communication, tracking, and scheduling.
  • Use the current Google Workspace Facility Drive to track, budget, and keep a record of facility work planned, in process, or completed.
  • Maintain availability outside standard school hours for large facility projects that would disrupt school operations, emergency facility responses, or urgent maintenance needs.
  • Attending weekly meetings
  • Back-up coverage for campus front desk - answering phones, taking messages if needed
