About The Position

The West Facility Manager (WFM) will support the Lead Facility Manager (LFM) with oversight of the facility(ies) for the assigned branch locations. The WFM acts as a backup to the LFM in their absence and supervises and/or coordinates the operations of the Owner’s facility(ies) located in Chicago, IL. This role is responsible for maintaining facility management corporate policies and records, implementing policies and procedures in accordance with Owner published directives, local codes/laws and procedures to ensure compliance. The WFM will coordinate personnel moves, including the administration of furniture changes, initiate purchase requests, authorize expenditures, and process invoice payments. They will administer all service contracts for assigned locations, prepare bid specifications, solicit bids, and make recommendations regarding contracted services. The role also involves administering and maintaining work order requests, space management, and preventative maintenance tracking systems, as well as supporting the implementation and management of maintenance programs for the interior and exterior of the facilities. Additionally, the WFM will assist with and implement annual budgets, including capital expenditures, and coordinate service providers and furniture/equipment with internal IT service support, performing all duties in accordance with the shared beliefs and values of the Owner.

Requirements

  • A minimum of 5-7 years of commercial high-rise, campus environment, and/or property portfolio management experience required
  • Certified Facility Manager (CFM), International Facilities Management Association (IFMA), Building Owners and Managers Association (BOMA) industry certifications recommended; other Engineering, Business or technical training or certifications preferred
  • Ability to read and understand construction specifications and blueprints
  • Proficient in understanding management agreements and contract language
  • Excellent computer and systems knowledge: Strong literacy in Microsoft Office Suite (MS Word, Excel and PowerPoint)
  • Strong discipline of financial management including financial tracking, budgeting and forecasting
  • Knowledge of Financial Systems (Yardi a plus)
  • Skilled in Building Management Systems maintenance and monitoring

Nice To Haves

  • Experience in leasing, construction, engineering and all facets of property operation and building management preferred
  • Experience with critical system environments desired
  • Experience in the development and implementation of programs to drive out cost inefficiencies preferred
  • CMMS/Work Order Management experience preferred

Responsibilities

  • Prepare bid specifications, solicit competitive bids and make recommendations regarding contracted services to the Owner.
  • Administer and maintain work order requests, space management and preventative maintenance tracking systems.
  • Supports the implementation and management of all maintenance programs relating to the interior and exterior conditions and appearance of the facilities.
