About The Position

The facilities maintenance specialist reports to the Office Administrator and provides assistance to ensure successful service delivery of the client facility needs.

Requirements

  • 3-5 years of experience in facilities maintenance or equivalent related functions
  • Knowledge of general maintenance methods, operating requirements, and safety precautions related to facilities management
  • Has working knowledge of workflow in Office Services, Facilities, and Hospitality environments
  • Excellent interpersonal skills
  • Must be energetic, courteous, well organized, and able to work independently
  • Ability to work under pressure in a fast-paced environment
  • Strong time-management skills and ability to multi-task
  • Strong client service focus and ability to work effectively in a team environment
  • Self-motivation and ability to work with minimal supervision
  • Ability to stand or walk for extended periods of time
  • Ability to work a flexible schedule as needed, including but not limited to being on call after hours and weekends
  • Ability to lift objects up to 50 lbs and, with assistance, objects weighing more than 50 lbs

Nice To Haves

  • Bachelor's degree in Business, Engineering, or equivalent professional level experience is preferred

Responsibilities

  • Work closely with the building's property management team to ensure the space is meeting all aspects of the Firm's needs, including efficiency and aesthetics
  • Serve as point of contact for building management
  • Assist with office specific vendor contracts and relations
  • Work with the property management office, building engineers, and outside vendors to coordinate incoming deliveries and services
  • Schedule and document routine maintenance and repairs
  • Remain knowledgeable regarding all operational aspects of office equipment
  • Assist with fire code compliance and office safety
  • Furniture repairs, requests and purchases
  • Minor office repairs and maintenance
  • Coordinate with appropriate vendors on major office repairs and maintenance
  • Perform daily walk-throughs to ensure the office is clean and equipment is functioning properly
  • Address internal inquiries and concerns ensuring timely and quality issue resolution and service delivery
  • Follow up on internal inquiries to ensure customer satisfaction
  • Assist with office renovations
  • Assist with business continuity planning and implementation
  • Assist with incident response planning and implementation
  • Assist with development and tracking of the annual office budget
  • Bring practical process improvement thinking to assignments to continuously drive improvement, reduce cost, improve efficiency, and or safety
  • Assist the office services coordinator with new hire office setup and office reassignments as requested
  • Other duties as assigned
