About The Position

The Facilities Maintenance Coordinator supports the Facilities team in coordinating, tracking, scheduling, and documenting maintenance and repair activities across a healthcare organization with more than 96 facilities throughout the state. This position serves as a key administrative and operational liaison between the Facilities department, clinical departments, department heads, vendors, contractors, etc.

Requirements

• Experience or knowledge of working in a healthcare facility required.
• Must be organized and able to manage multiple projects simultaneously, while prioritizing responsibilities and duties.
• Must be able to communicate effectively, tactfully, clearly, and concisely.
• Strong verbal and written communication skills.
• Must have a strong sense of urgency and customer-focused mindset.
• Ability to exercise discretion and maintain strict confidentiality on all matters.
• Must be detail oriented and able to work independently.
• Ability to communicate effectively on a one-on-one basis or in a group setting.
• Proficient in MS Office and computer-related tasks.
• Must be dependable, reliable, and punctual.

Responsibilities

• Coordinate and track facility maintenance and repair requests through the organization’s work order management system.
• Monitor work orders from initiation through completion, ensuring requests are appropriately assigned, scheduled, updated, and closed in a timely manner.
• Prioritize maintenance requests based on urgency, operational impact, patient safety, life-safety requirements, and departmental needs.
• Schedule routine, preventative, and corrective maintenance activities with Facilities staff, vendors, contractors, and department representatives.
• Maintain accurate and timely documentation of work performed, including labor, materials, vendor services, completion dates, and outstanding items.
• Demonstrate and embody the Women’s Care mission and core values.
• Compliance with all HIPAA rules, regulations, and guidelines.
• Other duties as assigned.
