About The Position

As a Facilities Coordinator at JLL, you'll provide essential facility management services that keep workplace operations running smoothly and efficiently. This role positions you as a key liaison between clients, vendors, and internal teams, ensuring seamless coordination of daily facility activities and administrative functions. You'll support the facilities management team with everything from procurement and vendor coordination to budget tracking and service contract management, while also handling the practical, hands-on aspects of workplace operations. Requirements

  • High school diploma or equivalent
  • 2+ years of experience in facility administration, property management, or related operations role
  • Superior customer service skills with the ability to maintain professionalism in stressful situations and respond effectively to diverse facility needs
  • Strong computer skills with proficiency in Microsoft Office Suite (especially Excel), facility management portals, and technology platforms
  • Proven ability to manage multiple administrative and operational tasks simultaneously, including financial processes and physical coordination work
  • Excellent written, verbal, and interpersonal communication skills with a collaborative working style and willingness to provide hands-on support where needed

Nice To Haves

  • Associate's or Bachelor's degree in facilities management, business administration, or related field
  • Experience working in corporate office environments or commercial real estate settings
  • Knowledge of procurement processes, purchase order systems, and working with finance departments
  • Familiarity with ticketing systems, CMMS platforms, and facility management technology tools

Responsibilities

  • Monitor facility operations continuously and serve as the primary point of contact for clients, visitors, vendors, and service providers to ensure minimal disruption to the workplace
  • Manage parking operations including permit coordination, space assignments, and resolving parking-related issues for building occupants
  • Process and track facility-related tickets through technology portals, ensuring timely resolution and appropriate follow-up with customers
  • Coordinate procurement activities with finance teams, including issuing purchase orders, managing bid requests, and overseeing service and construction contracts
  • Provide hands-on support for workplace needs including event setups, furniture moves, space reconfigurations, and other physical coordination tasks
  • Process accounts payable and accounts receivable, assist with budget requests and analysis, and research and report on budget variances
  • Utilize facility management technology portals and systems to manage work orders, track vendor performance, and maintain accurate operational records
