About The Position

This is a contract role for a Facilities Coordinator. The primary responsibilities include serving as the on-site subject matter expert for building systems, overseeing the move-out of the prior occupant and facility cleanup, and providing transition support for incoming staff. The role requires documenting building information, coordinating with vendors, and ensuring the building is ready for new occupancy.

Requirements

  • On-site subject matter expertise in building systems (mechanical/electrical, HVAC, access controls, utility shutoffs).
  • Ability to conduct building walkthroughs and transfer knowledge.
  • Proficiency in documenting building information (layouts, system specs, contact lists, maintenance logs).
  • Skill in identifying and communicating deferred maintenance, pending repairs, or risk areas.
  • Experience overseeing and coordinating move-outs of equipment, furniture, and materials.
  • Capability to manage facility cleanup and ensure readiness for occupancy.
  • Experience coordinating with vendors, haulers, and cleaning crews.
  • Ability to conduct final walk-through inspections.
  • Strong communication skills to act as a point of contact for incoming staff.
  • Ability to assist with immediate facilities issues during move-in.
  • Skill in flagging and escalating safety or functionality issues.

Responsibilities

  • Serve as the on-site subject matter expert for all aspects of the building, including mechanical/electrical systems, HVAC, access controls, utility shutoffs, and any known quirks or history.
  • Conduct walkthroughs with the Aereos facilities team to transfer knowledge of building operations, maintenance schedules, vendor relationships, and outstanding issues.
  • Document all relevant building information (layouts, system specs, contact lists, maintenance logs) in a format usable by the incoming team.
  • Identify and communicate any deferred maintenance items, pending repairs, or known risk areas.
  • Oversee and coordinate the complete move-out of the prior occupant’s remaining equipment, furniture, and materials.
  • Manage cleanup of all spaces to ensure the building is ready for Aereos occupancy, including common areas, storage, mechanical rooms, and any leased suites.
  • Coordinate with vendors, haulers, and cleaning crews to complete work within the two-week window.
  • Conduct final walk-through inspections to confirm spaces meet handoff standards.
  • Act as a point of contact for incoming Aereos staff with questions about the building during the move-in period.
  • Assist with any immediate facilities issues that arise during the move-in, including access, utilities, or infrastructure questions.
  • Flag and escalate any issues that may affect the safety or functionality of the building during the transition.
