About The Position

We are seeking a Facilities Coordinator to join our facilities team! As the Facilities Coordinator, your primary responsibilities will include providing support for all building-related and equipment activities for our retail hearing centres nationwide. You will be a part of a fast-paced team working to ensure that all facilities are safe and well functioning. The goal is to ensure our clinic operations are problem-free so that employees can work under the best conditions.

Requirements

  • College diploma or equivalent working experience
  • 2-4 years of experience in administrative field
  • Analytical decision making and problem-solving skills, a positive attitude and ability to work well within a team.
  • Ability to multitask and prioritize in a fast-paced environment
  • Knowledge of principles and practices of office administration
  • Attention to detail and the ability to see implications for the bigger picture
  • High level of organization and time management skills, and the ability to handle a complex, varied workload.
  • Ability to create and maintain relationships with vendors, landlords, service providers and clinic staff
  • Excellent written & oral communication skills; ability to communicate appropriately with a variety of stakeholders (peers, management, suppliers, customers, etc.).
  • Ability to communicate detailed or technical information clearly, accurately, and concisely.
  • Strong knowledge of Microsoft Office Suite Applications, especially Excel
  • Hybrid role (2-3 days in office/ week) with occasional weekends or evenings.
  • G license and reliable vehicle
  • Some travel will be required across Canada.

Responsibilities

  • Support and assist with facility central services such as security, cleaning, parking, and maintenance issues.
  • Manage service coordination for facility and audiological equipment support tickets.
  • Respond quickly to facility and equipment emergencies and failures.
  • Coordinate service calls with contractors and clinic team.
  • Work cooperatively with vendors and contractors to get quotes and expedite the completion of repair and maintenance work.
  • Maintain tracking programs for audiological equipment, inspection schedules and repairs.
  • Support the reporting and review of facility-related budgets, finances, contracts, expenditures, and purchases.
  • Coordinate and complete purchase orders to assist with supply flow to clinics.
  • Provide prompt and customer-focused response to requests and issues from clinic staff.
  • Plan ahead to assess and mitigate risks to clinic operations.
  • Provide administration support to project management initiatives as needed.
  • Contribute to organization goals by accepting ownership for accomplishing new and different requests and exploring opportunities to add value to job components.
  • Other related duties as assigned
