About The Position

Maintains the regulatory compliance paperwork for the life safety environment and components of the facility. Ensures the smooth operation of the office and administrative functions of the plant operations department and provides administrative support to the facilities management team.

Requirements

  • High School diploma/GED or 10 years of work experience
  • Frequent lifting/carrying and pushing/pulling objects weighing 0-25 lbs.
  • Frequent sitting, standing, walking, reaching and repetitive foot/leg and hand/arm movements.
  • Frequent use of vision and depth perception for distances near (20 inches or less) and far (20 feet or more) and to identify and distinguish colors.
  • Frequent use of hearing and speech to share information through oral communication.
  • Ability to hear alarms, malfunctioning machinery, etc.
  • Frequent keyboard use/data entry.
  • Occasional bending, stooping, kneeling, squatting, twisting and gripping.
  • Occasional lifting/carrying and pushing/pulling objects weighing 25-50 lbs.
  • Rare climbing

Responsibilities

  • Maintains computerized building and space-related documentation.
  • Collaborates with team leaders and department coordinators to maintain equipment-related asset records in the computerized maintenance management system.
  • Monitors preventive maintenance schedules and reports results for compliance and delinquency rates.
  • Maintains documentation supporting compliance with all regulatory requirements including Joint Commission, state regulatory agencies, and environmental authorities.
  • Promotes the maintenance function by assisting user departments through training, equipment support, and project development.
  • Develops and maintains systems and tools for tracking and reporting performance metrics including energy management, capital expenditures, outsourcing costs, and financial productivity.
  • Performs data analysis.
  • Performs financial research for accounts payable, invoicing, billing, variance explanations, and budgeting.
  • Provides general office support, including arranging meetings and follow up calls, maintaining the office environment, and inventorying office supplies.
  • Assists management team in preparing committee reports, including maintaining or obtaining data needed by the various committees.
  • Maintains meeting minutes and follow-up on action items.
  • Performs all other duties as assigned.
