About The Position

Infrastructure Ontario (IO) is seeking a Facilities Assistant for a fixed-term contract. This role will ensure the smooth operation of the reception desk and provide administrative and facilities management support. IO is an Ontario crown corporation focused on modernizing and maximizing the value of public infrastructure and realty, known for its successful major projects, real estate services, and lending initiatives.

Requirements

  • Strong client-service orientation with a professional, friendly, and approachable manner.
  • Excellent interpersonal skills, demonstrating tact and sound judgment when interacting with diverse employees and visitors.
  • Effective written and verbal communication abilities.
  • Highly organized, able to manage tasks and prioritize efficiently in a fast-paced setting.
  • Proficient in administrative support functions.
  • Skilled in Microsoft Office tools (Word, Excel, PowerPoint), with advanced Excel capabilities preferred.

Responsibilities

  • Welcome visitors, manage sign-in procedures, and direct visitors to appropriate areas or hosts
  • Answer and direct calls; assist employees with inquiries, providing information and directing them to key contacts (e.g., IT, People & Culture, Facilities)
  • Handing incoming/outgoing mail and courier deliveries, including logging deliveries and notifying employees
  • Conduct weekly workplace checks (office and kitchen supplies, meeting room and plant maintenance) and log service requests when required
  • Support inventory management of office supplies by consolidating and documenting supplies on hand and monitoring stock levels
  • Oversee the assignment of employee lockers and access cards, ensuring that tracking documents are maintained and up to date
  • Develop improved signage for communal waste areas to enhance clarity and reduce confusion
  • Support ad hoc projects within the Facilities team and perform other administrative duties to support the team on an as needed basis
