About The Position

We are seeking a dynamic Facilities Administrator I with 1-3 years of experience to help with mail services, daily work, and record retention duties. This is an onsite-based position in the Van Nuys office and supports all facets of the day-to-day operations and/or projects within the Facilities & Security department. This position will assist in most of the daily functions of the Facilities department, as well as responding to the immediate needs of the broader staff.

Requirements

  • 1 to 3 years in similar or related experience required.
  • A minimum of 1 year of experience providing administrative support in a fast-paced environment.
  • High School diploma or GED required.
  • Excellent verbal and written communication skills
  • Excellent interpersonal, and customer service skills
  • Excellent organizational and attention to detail skills
  • Excellent time management skills with a proven ability to meet deadlines
  • Ability to function well in a fast-paced and changing environment
  • Proficient with Microsoft Office Suite or related software

Nice To Haves

  • A minimum of 1 year of experience supporting a facilities or record retention department, or commensurate work experience, is preferred.
  • Working understanding of Record Retention regulations, practices and procedures is preferred.

Responsibilities

  • Demonstrate and maintain up-to-date knowledge of and ensuring on-going compliance with applicable regulatory requirements, such as BSA, OFAC, CIP and internal policies and procedures.
  • Prepare and scan loan documents & signature cards.
  • Maintain off-site records inventory.
  • Process daily work and assist with document retrieval requests by internal staff.
  • Prepare storage boxes and coordinate pick up with the outside storage vendor.
  • Handle all mail services.
  • Manage the Access Control system and assign/remove roles and credentials as requested for employees, vendors, and visitors.
  • Assist with the daily opening/closing procedures for the Van Nuys building.
