About The Position

The Export Manager is responsible for developing the export product in the marketplace by focusing on Operations, Finances, Sales, People, Systems, and Culture, in adherence to company policies and procedures. This position manages both air and ocean export operations.

Responsibilities

  • Create and maintain an effective department organization chart for flexibility and growth.
  • Prepare, execute, monitor, and update the department's business plan.
  • Monitor and improve key departmental productivity indicators (e.g., Shipments Per Desk, Revenue Per Desk, Expense Per Desk, Revenue Per Shipment, Revenue to Expense ratio).
  • Instill and foster a climate of compliance with all regulations, including internal policies (OPS) and external government regulations or customer requirements.
  • Map and understand department process flow, identifying areas for efficiency improvements to enhance customer cycle times, service, and cost control.
  • Ensure all customer standard operating procedures are documented and updated in the SOP database.
  • Ensure disciplined usage of workboards for operational excellence.
  • Host daily huddles and end-of-day meetings with the team.
  • Build and maintain strong relationships with vendors (airlines, steamship lines, trucking companies, etc.).
  • Work to be vendors' lowest cost customer through electronic booking, shipper built units, and other creative local market solutions.
  • Evaluate vendors at defined intervals, focusing on improvement areas and implementing corrective action plans.
  • Regularly read business and trade journals and attend industry events to enhance market and industry knowledge.
  • Assist District Manager with the preparation of the annual department budget.
  • Meet monthly with the District Manager to review department financial P&L and productivity results and goals.
  • Review, understand, and focus on improving department freight yields.
  • Attend Accounts Receivable meetings and proactively work to maintain accounts payment within 30 days.
  • Ensure company credit procedures are followed and utilized effectively.
  • Manage accounts payable to vendors using BNP.
  • Manage intercompany accounting discrepancies via AJAX report.
  • Follow company capex procedure for purchasing equipment.
  • Use the Top 20 Accounts report to evaluate and develop the departmental client base, working towards a balanced customer base (no more than 10% revenue from one customer).
  • Actively develop business for the department through involvement in sales and retention, coordinating with the sales department.
  • Complete 5 Sales and/or Retention Calls per week and document them in Dynamics.
  • Ensure Customer reviews are completed with regular customers.
  • Proactively provide pricing alternatives, routing solutions, and technical assistance to clients through internal sales (regional and global).
  • Respond to requests for proposal, quotation, or information timely with market-competitive pricing.
  • Take an active role in the transition of new business or updates to existing business.
  • Identify, develop, and mentor your No. 2.
  • Participate in annual employee performance reviews.
  • Develop personal development plans for all employees.
  • Ensure all staff and positions have job descriptions, clear expectations, and structured development plans.
  • Ensure and assist supervisors and key staff with goal setting and monitoring.
  • Conduct regular interviews with potential new personnel.
  • Plan and hold effective monthly department meetings with the team.
  • Review department goals and business plan periodically with staff to ensure buy-in and accountability.
  • Meet company standards of 52 hours of training per year, including management/leadership training.
  • Be open to implementing new system changes and enhancements.
  • Be involved in and suggest system/process improvements.
  • Set the tone of the environment within the department.
