About The Position

Motorq is the leading Connected Vehicle Intelligence platform, partnering with automotive manufacturers to deliver AI-powered solutions for fleets, car rental companies, dealerships, and lenders. The Executive and Team Assistant role is crucial for maintaining smooth operations and positively impacting company culture and team effectiveness within the fast-growing startup environment. This high-trust position involves HR coordination, facilities and office management, employee engagement, and executive team support, acting as the operational core of the San Francisco office. The ideal candidate is proactive, takes pride in creating a great workplace experience, and can manage diverse responsibilities effectively. This role offers significant scope and impact, with visibility into key company workstreams and close collaboration with the leadership team.

Requirements

  • 3+ years of experience in an executive assistant, office manager, HR coordinator, or team operations role, ideally at a technology company or high-growth startup.
  • Demonstrated experience managing complex executive calendars and travel logistics across multiple time zones.
  • Prior experience managing a physical office environment, including vendor relationships and facilities oversight.
  • Strong written communication skills — able to draft clear, professional internal communications, meeting agendas, and follow-up notes.
  • Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets), Slack, and standard travel booking platforms.

Nice To Haves

  • Experience with HR coordination — onboarding, offboarding, benefits administration, or employee records — is strongly preferred.
  • Experience working with distributed, global teams across multiple offices and time zones is a plus.

Responsibilities

  • Own end-to-end new hire onboarding and offboarding, coordinating with hiring managers, IT, and Finance.
  • Maintain employee records, HR documentation, and act as the first point of contact for HR coordination questions (benefits enrollment, PTO policies, team policies).
  • Manage day-to-day operations of the San Francisco office, including supplies, vendors, building management, and upkeep.
  • Coordinate facilities needs for global offices (Chennai, Bengaluru, Seattle) in partnership with local team leads.
  • Design and execute company events, team offsites, and culture initiatives for in-person and distributed teams.
  • Own internal communications, keeping the team informed about company news, events, and milestones.
  • Manage complex, multi-timezone calendars and travel logistics for the leadership team.
  • Support leadership with meeting materials, agendas, action item tracking, and cross-functional coordination, handling confidential information with discretion.
