As an Executive Support Officer, you will provide a full range of coordination, communication, administrative and project support to the Director Disability Services Victoria, enabling them to operate effectively and efficiently. The successful candidate will have previous experience supporting a senior leader, will be highly relational, a quick learner, problem solver and be flexible and adaptable to thrive in a fast-paced environment with rapidly changing priorities. This role is permanent full-time role based in our Box Hill office (2-3 times per week) with hybrid work from home arrangements.

Requirements

  • Experience providing support to a Senior Leader
  • Experience building and maintaining relationships with key internal and external stakeholders at all levels
  • Problem solving skills and ability to consider strategic implications of decisions/actions
  • High level of influencing, verbal and written communication skills
  • Ability to develop and collate organisation reporting and papers on complex and sensitive matters
  • Ability to manage sensitive information and maintain a high degree of confidentiality
  • Demonstrated ability to manage conflicting priorities, work under pressure and meet deadlines
  • Advanced proficiency in Microsoft Office suite of programs.
  • Successful candidates will be required to clear probity checks including National Criminal History Record Check.

Responsibilities

  • Provide timely and effective diary management
  • Prepare high quality documents (reports, letters, submissions etc)
  • Arrange travel and accommodation as required
  • Administration support including reconciliation of monthly expenses
  • Plan and coordinate meetings (including agenda preparation, collation of papers and taking minutes)
  • Ensure the Director is prepared for all meetings and events (including briefing materials, presentations and logistics)
  • Review incoming correspondence, prepare a response and/or send written correspondence on behalf of the Director
  • Coordinate and collate operational reporting, including analysis and insights
  • Monitor the implementation of Strategic and Business Plans for the Director
  • Proactively work with stakeholders to ensure achievement of timelines, budgets and outcomes, and providing updates as required.
  • Stay abreast of industry themes, trends, changes and developments
  • Establish and maintain working relationships with key internal and external stakeholders
