The Denver City Attorney’s Office is one of the largest law firms in Colorado, with over 230 attorneys and staff members comprised of paralegals, victim advocates, and other support and supervisory staff members. We are currently seeking an Executive Support Business Operations Administrator to join the Finance and Business Operations team within the City Attorney’s Office. This position provides high-level executive and operational support within the agency, with the majority of time dedicated to executive scheduling and support for senior leadership, complemented by a broad range of administrative and operational program responsibilities.

Requirements

  • Bachelor's Degree.
  • Three (3) years of experience administering business operations or operational programs and/or assisting professional/management staff with administrative or operational functions.
  • Experience providing C-suite level executive support and calendaring
  • Handle sensitive communications, such as emails, phone calls, and meetings, with the highest level of discretion.
  • Flexibility to pivot when handling multiple assignments

  • Additional appropriate education may be substituted for the minimum experience requirements.

Responsibilities

  • Provides primary executive support to the City Attorney, Deputy City Attorney, Director of Finance and Business Operations and Director of Finance on an as-needed basis
  • Communicates with other executive assistants, professionals, private and public organizations, or others to acquire, verify, coordinate, and document meetings and events as necessary
  • Manages distribution and assignment of incoming summons, claims, subpoenas and other correspondence
  • Coordinates operational and/or administrative programs/functional activities, services, and serve as a liaison and central point of contact between various agency sections, other agencies, customers, vendors/suppliers, and other stakeholders (continuing legal education committee, legal publications distributions, cell phone program management, travel arrangements, p-card verifications, badge requests processing, access management to third party platforms, etc.)
  • Assists with management of the agency’s records management program, agency’s Help Desk and various committees
  • Coordinates agency-wide events and planning; assists with agency’s annual reports compilation and other programs as assigned
  • Assists with responses to Colorado Open Records Act (CORA) requests and coordination of the CORA request response process
  • Works with internal and external customers to assess needs, provide assistance and resolve problems
  • Coordinates, implements, and monitors agency’s specific training activities for the program/functional areas of responsibilities, including conducting needs assessments, evaluating training needs and effectiveness, and participating in instruction
  • Develops, writes, and maintains procedures and guidelines for areas of responsibility, prepares a variety of analytical and operational reports, correspondence, and other documentation and provides operational information and statistical data for management/departmental use
  • Performs other duties as assigned
