  • Strong understanding of access control, risk awareness, incident documentation, and safety procedures.
  • Excellent judgment, discretion, and professionalism—especially with high-profile individuals.
  • Strong communication skills, including the ability to provide clear updates without oversharing sensitive details.
  • Ability to work independently with minimal supervision and maintain confidentiality consistently.
  • Reliable availability for on-call responsibilities.

Nice To Haves

  • Experience working with private estates, luxury residences, or discreet service environments.
  • Familiarity with coordinating multi-vendor operations for large properties.
  • Training or certifications in security, incident response, or first aid/CPR (if applicable).
  • Experience collaborating with executive households, private security teams, or facility management staff.
  • Calm under pressure and able to respond decisively.
  • Detail-oriented and highly organized with strong follow-through.
  • Trustworthy, discreet, and respectful of privacy boundaries.
  • Proactive problem-solver with a security mindset.
  • Strong interpersonal skills and the ability to manage vendor relationships diplomatically.

Responsibilities

  • Maintain a security-first mindset while supporting routine estate operations.
  • Assist with assessing security risks related to vendors, contractors, deliveries, access points, and daily activities.
  • Support access control procedures (e.g., guest/vendor screening, check-in/check-out workflows, escort protocols as needed).
  • Monitor and document incidents, anomalies, and safety concerns; escalate appropriately.
  • Coordinate with relevant security personnel and/or law enforcement partners when required.
  • Ensure estate safety standards are consistently followed across all areas of the property.
  • Support day-to-day operations of the estate, including coordination of maintenance, repairs, and facilities needs.
  • Oversee vendor performance through inspections, communications, scheduling, and quality checks.
  • Maintain operational continuity by tracking priorities, timelines, and follow-ups for contractors and service providers.
  • Support upkeep of systems and property-related operational processes (grounds, buildings, access systems, general maintenance).
  • Assist with routine audits of estate services to ensure reliability, responsiveness, and cost-effectiveness.
  • Act as a trusted point of contact for vendors and contractors while ensuring compliance with estate policies.
  • Coordinate scheduling to minimize disruption to the high-profile individual’s privacy and schedule.
  • Ensure vendors understand access procedures, safety requirements, confidentiality expectations, and site etiquette.
  • Review invoices and service completion details as appropriate for operational accuracy.
  • Handle sensitive information with the utmost discretion, including schedules, locations, residents/guests, security measures, and operational details.
  • Follow strict confidentiality standards at all times, including when communicating with third parties.
  • Represent the estate with the highest professionalism and discretion in all interactions.
