While the primary responsibilities include administrative office support and front-desk reception duties, the role also provides secondary backup support to the executive team. This is a full-time, in-office position based in our Herndon office. This role reports to the Manager of Executive Operations and requires reliable transportation.

Requirements

  • At least 5 years of relevant experience providing facilities and administrative office support, including at least 2 years of experience supporting executives.
  • Associate or bachelor’s degree in business administration, a related field, or equivalent experience.
  • Reliable transportation to support a fully on-site schedule and errands outside of the office.
  • Previous exposure to event planning and management.
  • Proficient with Microsoft Office Suite: especially calendar management in Outlook.
  • Ability to navigate new software tools useful in a technology-forward company (Examples: Slack, Confluence, SharePoint, Adobe Acrobat).
  • Ability to prioritize and handle multiple assignments, and complex multi-phase projects.
  • Friendly and welcoming, someone who gains satisfaction from customer service and values culture and engagement.
  • Strong written and verbal communication skills.
  • Highly dependable, punctual, and responsible.
  • Excellent problem-solving and critical thinking abilities.

  • Must be a U.S. citizen, lawful permanent resident of the U.S., protected individual as defined by 8 U.S.C. 1324b(a)(3), or eligible to obtain the required authorizations from the U.S. Department of State.

Responsibilities

  • Run the daily office operations for our Herndon, VA location in a professional and service-focused manner.
  • Manage front‑desk operations in a cleared facility, ensuring all visitors, contractors, and staff follow established access and security protocols.
  • Ensure the office workspace and common areas are clean, safe, and organized.
  • Greet visitors with warm hospitality and complete the guest registration process.
  • Receive mail, package shipments, and deliveries and distribute mail to their respective recipients.
  • Order and keep drinks, snacks, and office supplies well-stocked.
  • Receive and distribute voice mails that go to the main company line.
  • Coordinate with Manager, Facilities & Admin Operations on facilities, vendors, and maintenance issues.
  • Coordinate several internal operational systems including keycards for employees and facilities access.
  • Host candidates during in-office interviews and customers or partners for tours, ensuring a great experience.
  • Plan and attend company local events.
  • Run errands to support miscellaneous events and activities, using reliable transportation.
  • Ensure all whiteboards are cleared at the end of each day.
  • Coordinate catering as required (ordering, setting up, and take down).
  • Create and maintain office reference material inclusive of visitor processes and ensure adherence to guidelines.
  • Handle confidential information with discretion.
  • Manage internal and external communications in a timely manner.
  • Provide our executive team with calendar support as needed.
  • Process complex expense reports with accuracy.
  • Coordinate workspace seating assignments, office moves, and desk setups to support organizational changes.
  • Partner with Manager, Facilities & Admin Operations when appropriate.
  • Monitor and maintain all office equipment (printers, appliances, A/V systems) and coordinate repairs or replacements as needed.
  • Other job-related duties as assigned.
