About The Position

The Department of Citywide Administrative Services (DCAS) aims to make city government work efficiently for all New Yorkers by managing iconic courthouses, municipal buildings, and purchasing over $1 billion annually in goods and services for over 80 City agencies. DCAS's Real Estate Services (RES) division supports City governmental operations by managing 37-million square feet of real estate, handling citywide acquisitions and dispositions, and providing architectural design, space planning, project management, zoning and land use analyses, property valuations, and financial analyses. The RES Financial Services team, comprised of accounting and finance professionals, performs property valuations, lease administration, revenue & financial analysis, lease audits, and budget & lease enforcement. This new role of Executive Operations Assistant within Financial Services will be responsible for coordinating projects, reports, and communications between the five Financial Services teams, with a specific focus on coordinating workflows for the Property Valuations, Lease Administration, and Lease Audit teams.

Requirements

  • A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
  • An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in '1' above; or
  • A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in '1' above; or
  • Education and/or experience equivalent to '1', '2', or '3' above. However, all candidates must possess the one year of administrative or supervisory experience as described in '1' above.
  • Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in '1' above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.
  • Currently serving permanently in the title of Principal Administrative Associate or reachable on the Principal Administrative Associate civil service list.

Responsibilities

  • Coordinate workflows for the Property Valuations, Lease Administration, and Lease Audit teams.
  • Coordinate all appraisal requests between clients, the appraisal management system (IPIS), the internal team, and external appraisal vendors for the Property Valuations team.
  • Assist with lease registrations and commercial lease payments on an as needed basis for the Lease Administration team.
  • Coordinate communications between Lease Audit, landlords, tenant agencies, and others involved with the leasing process.
  • Research materials, including public records, to collect data and information regarding transactions related to real property.
  • Research and collect information and data, both current and historical, for use in reports prepared by the Financial Services team.
  • Research information pertinent to overall market conditions of all types of real property.
  • Obtain source materials by means of research, records examination, published materials, or personal interviews.
  • Interface with architects, surveyors, real estate appraisers, brokers, property owners, building managers, banks, engineers, builders, attorneys, local preservation units, government agencies, landlords, and tenants.
