About The Position

We're looking for an Executive Assistant to support two senior executives at the firm. This is a high-trust, high-ownership role. You'll manage complex calendars, own inbox triage and follow-up, coordinate meetings end to end, handle contracts and key files, and act as the operational backbone for two busy principals who need a right hand they can genuinely rely on. This role suits someone who works independently by default. You'll be trusted to run with things, anticipate what's needed before being asked, and operate with minimal supervision.

Requirements

  • 3 to 5 years of experience as an Executive Assistant supporting senior executives directly
  • Strong calendar and diary management experience, including complex, shifting schedules across multiple stakeholders
  • Excellent written and spoken English, able to communicate professionally on behalf of senior principals
  • Proven ability to work independently and proactively with minimal supervision
  • Comfortable acting as the right hand to two executives simultaneously, balancing competing priorities across both
  • Strong proficiency in Microsoft 365, including Outlook, Word, Excel, and SharePoint
  • Exceptional organizational skills and attention to detail, able to manage high volumes of competing tasks accurately under pressure

Nice To Haves

  • Experience with LinkedIn outreach and CRM platforms such as HubSpot
  • Background supporting executives in a consulting, professional services, or advisory environment
  • Familiarity with contract management and document organization workflows

Responsibilities

  • Own complex calendar management for two executives, including scheduling, rescheduling, and prioritizing across shifting demands and time zones
  • Coordinate internal and external meetings, calls, and appointments end to end, including all logistics
  • Triage and prioritize both executives' inboxes, drafting and sending follow-ups on their behalf with the right tone
  • Capture meeting notes and actions and follow up to ensure completion without being asked
  • Prepare, adjust, send, and file executed agreements including NDAs, maintaining organized, version-controlled records across SharePoint
  • Maintain the CRM, send LinkedIn outreach on the executives' behalf, and support light business development coordination
  • Arrange and book travel, including flights, hotels, ground transport, and detailed itineraries
  • Identify opportunities to improve workflows and drive adoption of better tools and processes
  • Handle additional ad hoc administrative tasks as they come up
