About The Position

The Executive Operations Coordinator is a highly trusted operational support role that helps keep the day-to-day business operations for all businesses owned and/or managed by company leadership running smoothly across office operations, leadership support, and administrative coordination. This person serves as a central point of coordination for our Louisville office while also supporting company leadership with a variety of executive assistant and operational support responsibilities. The ideal candidate is proactive, detail-oriented, emotionally intelligent, and highly dependable -- someone who naturally notices what needs attention and takes ownership without waiting to be asked. This role is ideal for someone who enjoys variety in their work, thrives in fast-moving environments, and can confidently balance structure, responsiveness, professionalism, and discretion.

Requirements

  • Ability to work onsite M – F in our Louisville office (J-Town area)
  • 3+ years of experience in an administrative, office management, executive assistant, operations coordination, or similar support role.
  • Strong organizational skills with exceptional attention to detail and follow-through.
  • Proven ability to manage multiple priorities, shifting requests, and time-sensitive tasks with professionalism and composure.
  • High degree of ownership, initiative, and self-direction.
  • Strong judgment, discernment, and emotional intelligence when handling sensitive information and interacting with leadership.
  • Confidentiality and discretion in handling sensitive information.
  • Excellent written and verbal communication skills.
  • Comfort working in a fast-moving, collaborative environment where priorities may shift quickly.
  • Enthusiastic about technology and experienced in platforms like Microsoft Office, Slack, Adobe, AI tools, and scheduling tools.

Responsibilities

  • Support day-to-day office operations, organization, vendor coordination, supply management, mail/shipping logistics, and general office functionality.
  • Serve as a welcoming and professional in-office presence for employees, candidates, clients, and visitors.
  • Provide executive and personal administrative support to Leap’s owners, including scheduling coordination, purchasing, expense support, personal errands, vendor coordination, document preparation, reservations, and other high-priority requests.
  • Support Leap’s People Operations function, particularly by conducting administrative tasks related to recruitment, onboarding, and offboarding workflows.
  • Assist with operational and administrative coordination across departments as business needs evolve.
  • Support bookkeeping and administrative tasks related to building/property operations and vendor coordination.
  • Provide on-site vendor support / oversight and/or tenant coordination as it relates to building and other property operations and businesses managed by company leadership.
  • Assist with special projects, operational follow-through, and miscellaneous business support tasks requiring accuracy, organization, and discretion.
  • Proactively identify areas where support, organization, or follow-through is needed and take initiative to improve them.
