About The Position

The Executive Office Manager is responsible for supervision of the Office Management team and ensures the smooth and efficient day-to-day running of office administrative operations. This role serves as the first point of contact in the corporate front office for clients, visitors, and employees, delivering exceptional customer service and ensuring a welcoming and organized front office environment. Additionally, this role provides support to assigned Executive leaders.

Requirements

  • Bachelor’s Degree in Business Administration or equivalent work experience required.
  • High School diploma or GED equivalent required
  • Minimum 5 years related experience required
  • Demonstrated strong interpersonal skills. Ability to interact effectively with external and internal clients across departments and locations.
  • Effective written and verbal communication skills
  • Professional appearance and demeanor
  • Excellent organizational and multitasking abilities
  • Excellent customer service skills
  • Ability to collaborate and work effectively with team
  • Strong attention to detail
  • Demonstrates strong time management skills with the ability to meet deadlines
  • Strong PC skills (MS Office products) and experience with mortgage origination systems.

Responsibilities

  • Manages Corporate reception, greeting visitors, clients and team members with a welcoming and professional presence.
  • Manages incoming calls, email and correspondence, routing to the correct recipient.
  • Ensures a clean, organized and inviting front office environment.
  • Coordinates onsite events and manages conference room scheduling.
  • Ensures preparation of spaces for meetings, ensuring meeting rooms are kept neat and organized.
  • Manages office supply inventory and vendor coordination.
  • Manages incoming and outgoing mail, packages and deliveries.
  • Maintains the executive schedules where assigned, including day-to-day and long-term management of meetings, projects, and priorities.
  • Schedules all meetings and travel, including prioritizing meetings and communicating all relevant details to participants.
  • Manages assigned office staff. Oversees work to ensure business needs and standards are met.
  • Assists with onboarding logistics for new employees.
  • Balances conflicting priorities in order to manage workflow, ensuring the completion of essential projects and the meeting of critical deadlines.
  • Performs other duties as assigned.
