About The Position

As an Executive Legal Assistant, you will support executives, lawyers and legal professional teams by coordinating priorities, managing complex administrative and operational tasks, preparing key documents, supporting contract and compliance-related workflows, and helping drive work to completion with strong judgment, organization, and attention to detail. Your role: Supports executives, lawyers, and legal teams by managing complex administrative, organizational, and operational responsibilities while serving as a trusted liaison among internal and external stakeholders. Handles confidential communications, correspondence, and sensitive information with professionalism, discretion, and sound judgment, while maintaining knowledge of corporate policies and operating independently within established procedures. Coordinates key business activities by managing calendars, scheduling high-priority meetings, preparing reports, presentations, executive summaries, agendas, meeting minutes, and other strategic communications that support informed decision-making. Maintains records and documentation, oversees travel arrangements and logistics, and ensures leaders remain informed of critical priorities, deadlines, and milestones. Drives operational excellence through the coordination of events, workshops, and conferences; management of expenses and budgets; communication of organizational announcements and updates; and support of crisis communications. Identifies and implements process improvements to enhance efficiency and may provide guidance to administrative teams and stakeholders to help achieve business objectives while fostering a culture of collaboration, compliance, and care.

Requirements

  • 4+ years' experience with Vocational Education in areas such as Administrative Support, Clerical Support or equivalent.
  • 4+ years of experience supporting in similar positions, preferably within the legal setting.
  • Strong attention to detail, supported by effective organizational skills.
  • Ability to deal with competing priorities and leverage a proactive work style to meet business deadlines.
  • Ability to work with minimal supervision.
  • Strong proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Proficiency with Artificial Intelligence such as Co-Pilot and ChatGPT.
  • High School Diploma, Vocational Education/ Bachelor's Degree in any relevant discipline or equivalent.
  • Ability to successfully perform the following minimum Physical, Cognitive and Environmental job requirements with or without accommodation.
  • Excellent communicator (written and oral).
  • Strong organizational and project management skills.
  • Self-motivated; able to work both independently to complete tasks and respond to department requests and with others to utilize their resources and knowledge to identify high quality solutions.
  • Strong attention to detail in the review, processing, and drafting of department documents.
  • Ability to utilize detail and depth of legal understanding to assist with training materials.
