Requirements

  • Bilingual proficiency required
  • 2-3 years of experience in executive support, finance, billing, accounting, reporting, or administrative operations.
  • Ability to handle highly confidential financial, client, firm, and personnel information
  • Strong proficiency in Microsoft Excel and Google Sheets
  • Experience working with large datasets and financial reporting
  • Ability to prepare professional reports, presentations, meeting materials, and executive documentation
  • Strong written and verbal communication skills
  • Demonstrated ability to manage multiple priorities and meet deadlines
  • Comfortable using AI powered tools to improve efficiency and productivity
  • Ability to work independently while collaborating effectively with cross functional teams
  • Strong problem solving and research capabilities

Responsibilities

  • Identify opportunities to improve efficiency, reporting accuracy, and business processes.
  • Maintain financial dashboards, trackers, and reporting tools.
  • Provide comprehensive administrative support to the Finance Chair
  • Generate, format, and distribute timekeeper, billing, collections, production, accounts receivable, and financial reports.
  • Reconcile cash postings against operating systems and investigate discrepancies.
  • Download data from operational systems into Excel and Google Sheets.
  • Proactively identify outstanding items and follow up with responsible team members.
  • Analyze financial trends, revenue performance, collections, accounts receivable, work in progress, and related financial metrics.
  • Organize, format, and analyze large volumes of financial and operational data.
  • Develop and maintain financial reporting practices and procedures.
  • Support the Finance Chair in achieving revenue and collection objectives.
  • Prepare meeting notes, action items, and follow up communications.
  • Assist with special projects and operational initiatives.
  • Attend weekly finance meetings and firm wide meetings as required.
  • Track assignments, deadlines, action items, and outstanding issues to ensure timely completion.
  • Prepare agendas, meeting materials, reports, presentations, and other business documents.
  • Manage calendars, meetings, appointments, correspondence, and follow up items.
  • Utilize approved AI platforms to improve administrative, financial, research, reporting, and operational workflows
