About The Position

The Executive – Engineering Stores is responsible for carrying out day-to-day stores operations, including receipt, storage, preservation, issue and documentation of engineering materials, spare parts, consumables and fuel. The position supports Engineering Maintenance by ensuring timely material availability, maintaining accurate inventory records, and complying with company procedures, Quality, Health, Safety, Environment (QHSE) and Supply Chain Security requirements.

Requirements

  • Graduate in any discipline, preferably with a Diploma in Mechanical, Electrical or Industrial Engineering.
  • Certification or training in Materials Management, Inventory Management or Stores Management will be an added advantage.
  • Minimum 2 years of experience in Engineering Stores, Warehouse or Inventory Management in a port, manufacturing, heavy engineering, logistics or industrial environment.
  • Basic working knowledge of ERP-based inventory systems (Maximo, Oracle Fusion, SAP or equivalent).
  • Experience in handling engineering spare parts, consumables and maintenance materials.

Responsibilities

  • Receive, verify, unload and store engineering materials, spare parts, consumables and tools.
  • Verify received materials against Purchase Orders, Delivery Challans and packing lists.
  • Prepare Goods Receipt Notes (GRN) and perform ERP transactions as per established procedures.
  • Ensure proper binning, labeling, preservation and housekeeping of all stored materials.
  • Assist in cycle counting, perpetual inventory verification and annual stock-taking activities.
  • Report inventory discrepancies, damaged materials and shortages to the Reporting Manager.
  • Issue stock and non-stock materials in accordance with approved procedures and authorization limits.
  • Process returnable and non-returnable material transactions and maintain relevant records.
  • Maintain gate pass documentation for movement of materials, tools and equipment.
  • Maintain records of repairable, reusable, warranty, sample and scrap materials.
  • Assist in receipt of diesel fuel.
  • Record fuel transactions accurately and support daily fuel reconciliation.
  • Follow all safety procedures related to fuel handling and storage.
  • Record inventory transactions accurately in the ERP system.
  • Ensure documentation is complete and available for audit purposes.
  • Comply with all Quality, Health, Safety, Environment and Supply Chain Security Management System requirements.
  • Maintain good housekeeping in stores and storage areas.
  • Support proper storage and segregation of hazardous and non-hazardous waste.
  • Assist in maintaining statutory records, including hazardous waste documentation, as assigned.
  • Participate in safety inspections, toolbox talks and audit activities.
  • Support uninterrupted Engineering Maintenance operations through timely material availability.
  • Coordinate effectively with internal departments for smooth material movement.
  • Carry out any other duties assigned by the Reporting Manager or Department Head.
