About The Position

The Executive Director of Governance and Operations serves as a strategic leader supporting the President | CEO & Superintendent, Board of Directors, and all educational programs of the organization. This position oversees operations of the schools, board administration, organizational logistics, policies, transportation, special events, school safety and security, and maintenance and facilities. The ideal candidate is highly organized, collaborative, and able to manage multiple priorities in a fast-paced educational and nonprofit environment while exercising professionalism, discretion, and sound judgment. This position includes some evening and weekend commitments related to board and committee meetings, performances, tours, and special events.

Requirements

  • Master’s degree from accredited institution in educational administration/leadership with a principal certification required
  • Campus administration experienced required
  • Understanding of TEA’s mandated policies and initiatives and Texas educational law
  • Emotional maturity and professionalism
  • Strong analytical, organizational, communication, and interpersonal skills
  • Ability to manage multiple priorities and deadlines in a fast-paced environment
  • Strong attention to detail and accuracy

Responsibilities

  • Support the President | CEO & Superintendent in the coordination and execution of policy implementation and TEA’s strategic initiatives
  • Coordinate presenting all school district policies to the Board of Directors
  • Serve as liaison to the Board of Directors and support board governance operations
  • Coordinate board meetings, agendas, materials, communications, and logistics
  • Maintain official organizational files, records, and governance documentation to ensure compliance
  • Provide training and support for board management platforms and board-related systems
  • Prepare reports, presentations, and correspondence on behalf of the Executive Office
  • Maintain confidentiality and professionalism in all executive and board matters
  • Support organizational communications and professional responses to inquiries
  • Assist with organizational development initiatives, strategic planning, and executive projects
  • Serve as the school district’s Safety and Security Coordinator-maintain all emergency operational manuals and annexes, document weekly door checks, lead safety and security committee meetings and audits, and maintain all requirements from the Texas School Safety Center and TEA
  • Oversee the Director of Facilities and ensure all schools and the equipment are properly maintained
  • Serve as a backup IPM (Integrated Pest Management) Coordinator and participate with all trainings
  • Work will all facility vendors to ensure that adequate work is completed in the outlined timeframe
  • Oversee logistical coordination for rehearsals, performances, tours, camps, and special events for all school-related programs
  • Coordinate venue logistics including stage setup, equipment, transportation, ticketing, merchandise sales, and facility usage
  • Serve as liaison to external vendors, contractors, transportation providers, and community partners
  • Coordinate all transportation operations for FWAFA and TeSA, including scheduling vehicles and drivers and maintaining the master transportation calendar
  • Oversee vehicle maintenance coordination and reconcile fuel and repair records
  • Coordinate airline, hotel, charter bus, and travel arrangements for student and staff travel
  • Organize and manage travel documentation, medical forms, authorizations, and related compliance requirements
  • Recruit and coordinate volunteers and chaperones while maintaining required eligibility documentation
  • Manage operational calendars and scheduling for all school departments and organizational events
  • Support Directors with budgeting, purchase orders, requisitions, and operational planning
  • Oversee organization and inventory systems for supplies, materials, and costumes
  • Manage ticket sales operations and event-related financial tracking
  • Maintain systems for student release and event accountability procedures
  • Foster a positive and collaborative organizational culture among staff, students, families, volunteers, and community stakeholders
  • Support recruitment and retention efforts by effectively communicating the value of the organization’s educational and artistic programs
  • Coordinate and manage parent volunteers and community engagement efforts related to organizational programs and events
  • Assist with short- and long-term operational and strategic planning initiatives
  • Support organizational goals through effective project management and operational execution
