To allow the Director to shift focus from daily clinical operations to large-scale strategic expansion in support of the growing need for care, we are seeking an exceptionally sharp, thoughtful, and dependable healthcare operational professional who thrives in a high-autonomy, high-accountability environment. The Executive Coordinator to the Director is a dedicated individual contributor who works directly and exclusively to support the Director and eliminate execution friction across our clinical operations. This is an objective, highly disciplined execution role designed for a professional who loves working behind the scenes. Your job is to absorb complex operational follow-ups, audit dashboards for clinical and operational anomalies, and run independent payor and market research. This position reports directly to the Director, has zero direct reports, and operates outside the standard internal organizational social matrix. Right now, the Director is spending 98% of their time running the day-to-day business operations and only 2% growing our care footprint. With thousands of clients and community care partners reaching out seeking rapid access to care, we need to flip those numbers. You are the operational right hand who will make that flip possible. Your primary function is to protect the Director's time, absorb the daily operational noise, and amplify leadership capacity so the practice can scale its medically informed treatment model. To succeed, you must be comfortable operating with complete autonomy, working independently, and interacting with the broader clinical and administrative team strictly to audit data and verify task completion on the Director's behalf.

Requirements

  • 3–5 years of proven experience in healthcare project coordination, executive operations support, payor relations, or a related healthcare analytics/operations role.
  • Advanced proficiency in Excel; high comfort level auditing data dashboards and running basic queries; direct familiarity with Electronic Health Record (EHR) clinical workflows is highly preferred.
  • A practical, working understanding of healthcare payor systems, reimbursement dynamics, integrated care delivery, and behavioral health incentive structures.
  • Exceptional written and verbal communication, and a strong sense of accountability.
  • An innate ability to distinguish "noise" from "signal," exceptional judgment about what to escalate, and the discipline to protect focused project time.
  • Highly self-directed.
  • Value objective execution over organizational networking, and are energized by a role focused entirely on data, research, and project delivery.

Responsibilities

  • Drive completion of Director-assigned initiatives by verifying clinical and operational outcomes, confirming hard evidence of completion, and closing feedback loops efficiently.
  • Proactively monitor recurring clinical deliverables, data tracking logs, and administrative workflows so the Director does not need to manage routine follow-ups.
  • Review EHR reports and internal dashboards daily, identifying concise, prioritized anomalies with recommended next steps, and escalating issues only when materially necessary.
  • Own and execute targeted operational projects, including regional market analysis, payor incentive program research, and the coordination of technical or operational process backlogs.
  • Map out payor landscapes, reimbursement patterns, and healthcare incentive opportunities (e.g., Quality Incentive Programs, Pay-for-Performance) to develop practical, data-driven recommendations for revenue capture.
  • Draft razor-sharp, concise status notes, briefings, and decision memos that enable immediate action.
  • Maintain strict confidentiality and exercise uncompromising judgment when handling sensitive organizational, operational, data, and personnel information.
