Executive Coordinator, CMO Office

ManychatAustin, TX
Hybrid

About The Position

This role places you in a position of high reliance for the CMO, managing their calendar, preparation for engagements, relationships, and split-second decisions. The ideal candidate is adaptable, anticipatory, and unshakeable, thinking more like a production or celebrity assistant. While AI expertise is not required, a strong curiosity and willingness to learn are essential. The role offers a front-row seat to CMO operations, significant ownership from day one, and a fast-paced career track.

Requirements

  • Experience in a fast-paced, high-touch support role: as a talent assistant, production assistant, celebrity assistant, or similar - where anticipating needs came naturally.
  • Exceptional written and verbal communication skills.
  • High agency: you act without being asked and show up with solutions, not questions.
  • Calm, sharp judgment under pressure, with zero ego about the work.
  • Based in Austin, TX, with flexibility (and enthusiasm?) to travel for events.

Nice To Haves

  • A marketing background, for example, you started out as a marketing intern and got hooked.
  • Experience in talent management, creator or celebrity representation, or high-touch executive support at a public-facing company.
  • Curiosity about AI and a track record of picking up new tools fast. Deep AI experience isn’t required, aptitude is.

Responsibilities

  • Act as the CMO’s agent and manager for their public persona, coordinating interviews, speaking opportunities, industry meetings, and media events end-to-end.
  • Prep sharp briefs ahead of every meeting, interview, and event so the CMO walks in ready.
  • Partner with content and design teams to produce decks, one-pagers, speaker profiles, and landing pages that support the CMO’s public presence.
  • Be the CMO’s eyes and ears across the org, flagging what needs their attention before it becomes a problem.
  • Brief people ahead of time when they’re presenting to the CMO, set expectations, and manage the follow-up.
  • Work across teams to unblock anything that’s waiting on the CMO.
  • Own logistics for internal initiatives where the CMO is the named owner or sponsor.
  • Help build out the AI stack powering the CMO’s pod.
  • Manage the CMO’s calendar, prep for meetings, and process notes and action items.
  • Handle day-to-day correspondence and work-related travel and logistics.

Benefits

  • Professional development budget for conference tickets, online courses, and other relevant resources to help you grow.
  • Comprehensive medical, dental, and vision coverage for you and your dependents.
  • Hybrid work and generous, flexible time off — planned with your team, not rationed by a rigid quota.
  • Work from where you need to — agreed with your team, not tied to a desk. Flexibility we built in on purpose, because location shouldn’t get in the way of great work.
  • In-office perks, including free meals and snacks.
  • Company-funded sport activities, annual offsites and team-building events.
