About The Position

Merge Labs is seeking an exceptional Executive Business Partner to enhance the effectiveness of its leaders and the company as a whole. This role, situated within the People team, will provide comprehensive support to three company leaders, including two co-founders, reporting to the Head of People. The position emphasizes excellence in fundamental executive support tasks such as scheduling, preparation, logistics, communication, and follow-through. Beyond basic support, the role involves strategic contributions like shaping leadership agendas, tracking decisions, improving information flow, and managing operational projects. The ideal candidate will possess strong organizational judgment, meticulous attention to detail, and a dedication to the craft of executive support. A key aspect of the role is leveraging AI to increase efficiency and delegate repetitive tasks, while maintaining high-trust executive support standards. The position requires a trusted, high-judgment partner who can handle confidential information with discretion, communicate clearly, and represent leaders effectively. Requirements

  • Exceptional attention to detail and pride in the craft of executive support.
  • Experience supporting founders or similarly demanding senior leaders.
  • Exceptional prioritization judgment, understanding context, tradeoffs, and leverage.
  • Ability to anticipate what a leader is likely to care about and make confident routine calls and recommendations within established priorities.
  • Ability to support different leadership styles and build structure as needed.
  • Proactive problem-solving and ability to close loops that might otherwise get dropped.
  • Proactive communication when blocked and ability to manage up.
  • Ability to absorb confidential personal and company context without becoming political or indiscreet.

Responsibilities

  • Manage complex calendars for three leaders, with a primary focus on co-founders, proactively reconfiguring, shortening, canceling, and sequencing meetings to protect focus and preparation time.
  • Make routine prioritization calls using established company priorities and executive preferences, surfacing business tradeoffs to the executive.
  • Develop working cadences that reflect how each leader operates best, reduce contextless meetings and coordination failures, and take increasing ownership of inbox and communication triage.
  • Create useful morning/evening digests, link pre-reads and context to upcoming meetings, flag missing preparation, and proactively carve out time for executive actions.
  • Maintain visibility into where priorities, decisions, and ownership are getting lost, surfacing issues requiring leadership alignment before they become blockers.
  • Ensure important leadership decisions reach the people responsible for execution.
  • Maintain an organized view of key external relationships (scientific collaborators, clinical partners, funders, advisors, etc.), tracking history, commitments, and next steps.
  • Coordinate visits, dinners, demonstrations, scientific meetings, and partner reviews.
  • Help leadership sequence outreach to ensure important relationships receive consistent attention.
  • Own travel end-to-end, learning each executive's preferences.
  • Manage Merge-related receipts and expenses.
  • Coordinate executive and team events, and external partner visits.
  • Act as a credible, high-presence host for important visitors.
  • Handle highly confidential personal and professional information with discretion.
  • Coordinate occasional personal logistics that would otherwise materially disrupt an executive's workday.
