About The Position

The Executive Associate provides high-level executive support to senior cabinet members by managing complex calendars, coordinating divisional activities, and serving as a primary point of contact for internal and external constituents. Prepares and oversees Board of Trustee division committee reports, while organizing meetings, events, and related materials, including compiling accurate meeting minutes. Coordinates complex projects and a variety of office initiatives, ensuring efficient operations across the division. Maintains responsibility for budget oversight in collaboration with the budget manager and upholds strict confidentiality in all forms of communication. Exercises sound judgment and strong decision-making skills to support leadership priorities, while training and mentoring administrative support staff to promote consistency and effectiveness across the division.

Requirements

  • Bachelor’s degree
  • Six (6) years of experience in Office Administration, Business Administration or Administrative Support
  • Must be proficient with technology and various computer programs, such as ERP, Microsoft Office, Microsoft Word and Excel.
  • Associate’s degree in a field of study related to Finance or Business Operations
  • Eight (8) years of experience in Office Administration, Business Administration or Administrative Support
  • Must be proficient with technology and various computer programs, such as ERP, Microsoft Office, Microsoft Word and Excel.

Responsibilities

  • Provides executive-level support for senior cabinet members.
  • Prepares and manages Board of Trustee division committee reports.
  • Manages the calendar of the senior cabinet members.
  • Assists the cabinet member with divisional coordination.
  • Maintains confidentiality in both verbal, written and electronic communications.
  • Exercises sound judgment and strong decision-making skills.
  • Coordinates complex projects for the senior cabinet member’s division.
  • Manages a variety of office projects and initiatives including meeting preparation, managing events and compiling meeting minutes.
  • Maintains responsibility for the budget and collaborates with the budget manager.
  • Provides customer service and is the primary contact for internal and external constituents
  • Trains and mentors administrative support positions within the division.
  • Performs other duties as assigned.
