About The Position

This Executive Assistant role reports to the Chief Operating Officer (COO) for Harley-Davidson Motor Company. This role will manage the office of the COO, which includes a wide range of confidential duties requiring broad and comprehensive experience.

Requirements

  • High School Diploma or Equivalent Required
  • Demonstrated progressive executive leadership support in a relevant business environment
  • 8 years of relevant experience
  • High degree of integrity and the ability to handle confidential information
  • Strong verbal and written communication skills
  • Ability to forge strong cross-functional relationships across various lines of the business
  • Capable of exercising independent judgment in making decisions regarding leveraging the executive’s time effectively, and in making decisions on how to approach issues involving the executive without guidance.
  • Organizational awareness and business savvy necessary to interact with internal and external stakeholders at all levels.
  • Exceptional PC skills are required, including PowerPoint, Excel, Word, and Outlook.
  • Comfortable liaising with high-profile executives and other external stakeholders such as government officials, dignitaries, and dealer/owners on behalf of the COO.
  • Extremely organized with the ability to manage multiple tasks, meet deadlines, and adjust to changing priorities with continued attention to detail.
  • Conducts all matters in a personable and professional manner.
  • Must be readily available to work flexible hours.

Responsibilities

  • Manages and organizes the office of the COO efficiently by planning, prioritizing and scheduling multiple tasks and work functions.
  • Manages all appointment scheduling as well as travel planning, serving as the liaison between the COO and other internal and external stakeholders.
  • Prepares correspondence and/or appropriates any callers/letters to specialize areas of the company for assistance.
  • Prepares reports, screens telephone calls and visitors. Screens correspondence, highlighting necessary information for ease of executive’s time.
  • Assists the executive with preparation for Leadership and Board Meetings.
  • Completes special projects, as assigned.
