Requirements

  • High-level administrative support experience
  • Ability to interact with staff and gather/create reports
  • Proficiency in drafting letters, memos, invoices, and reports
  • Experience arranging travel and accommodations for executives
  • Skill in scheduling meetings and taking minutes
  • Ability to manage incoming communications, determine importance, and distribute accordingly
  • Experience with office tasks such as maintaining records, ordering supplies, and basic bookkeeping
  • Adherence to Environmental Health and Safety Program, including safety rules, procedures, practices, training, and safe use of equipment
  • Use of personal protective equipment (PPE) as required
  • Commitment to preventing injury, accidents, or illnesses by correcting or reporting unsafe situations, incidents, or occurrences

Responsibilities

  • Provides high-level administrative support and assistance to the CEO
  • Interact with staff and gather and create reports for the CEO
  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff
  • Arranges travel and accommodations for executives
  • Schedules and attends meetings on behalf of executives, taking notes and recording minutes
  • Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff
  • Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping
  • Performs additional duties as assigned by executives
  • Other duties as assigned
